Assistant Office DirectorJob Summary

We are seeking a highly organized and motivated Assistant Office Director to support the Office Director in overseeing daily office operations and ensuring a productive, efficient, and customer-focused work environment. The successful candidate will provide leadership to the administrative team, help implement office procedures, and assist with human resources, sales support, payroll, budgeting, and vendor coordination.

This role requires strong organizational, communication, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment while supporting strategic office goals and operational excellence.

Key Responsibilities

Support the Office Director in supervising, guiding, and mentoring office staff, including training, coaching, and performance feedback.
Oversee daily front desk operations to ensure high-quality customer service and professional communication standards.
Manage incoming phone calls, emails, and customer inquiries promptly and professionally.
Coordinate administrative operations, including filing systems, data entry, document control, and records management.
Assist with human resources functions, including onboarding, maintaining employee records, and supporting payroll processing.
Support the sales team by following up on inquiries, assisting with registrations, and contributing to enrollment and revenue goals when needed.
Prepare and maintain operational, sales, and performance reports for review by the Office Director and management team.
Analyze office performance data and assist in developing recommendations to improve efficiency, productivity, and customer satisfaction.
Coordinate with vendors and service providers to ensure timely procurement of office supplies and maintain strong working relationships.
Monitor office expenses, assist with budgeting, and support financial tracking and reporting.
Help develop, implement, and improve office procedures and organizational systems.
Support the Office Director with special projects and strategic initiatives as assigned.
Ensure strict confidentiality when handling employee, customer, and company information.

Qualifications & Experience

Minimum 2 years of supervisory or leadership experience in an office or administrative environment.
Previous experience in sales, customer service, or business development, with the ability to support revenue and enrollment goals.
Strong background in office administration, front desk operations, and customer service.
Experience supporting human resources processes, including onboarding, employee records, and payroll assistance.
Strong analytical skills with experience preparing reports, tracking KPIs, and presenting data to management.
Excellent organizational and time management skills with the ability to prioritize multiple responsibilities effectively.
Strong verbal and written communication skills, with the ability to collaborate effectively with staff, customers, and vendors.
Proficiency in Microsoft Office (especially Excel) and general office software; experience with CRM, payroll, or bookkeeping systems is an asset.
Experience with budgeting, expense tracking, and vendor coordination is preferred.
Demonstrated ability to support, train, and motivate team members while contributing to a positive workplace culture.
Strong attention to detail, professionalism, initiative, and a proactive approach to problem-solving.
