OFFICE ADMINISTRATOR - TRUCK & TRAILER REPAIR SHOP

Job Type: Full-Time

Location: Vars, ON

Industry: Truck & Trailer Repair

JOB DESCRIPTION

We are looking for a reliable and organized Office Administrator to join our truck and trailer repair shop. The successful candidate will handle daily office and administrative duties, communicate with customers and suppliers, and support the shop and accounting operations.

KEY RESPONSIBILITIES

Answer phone calls, emails, and customer inquiries professionally.
Schedule truck and trailer repairs and coordinate appointments.
Create and update work orders, invoices, estimates, and purchase orders.
Enter and maintain customer, vehicle, and repair information.
Follow up with customers regarding approvals, and payments.
Prepare and send invoices and receipts to customers.
Track accounts receivable and follow up on outstanding payments.
Process supplier invoices and maintain records of purchases.
Organize and maintain office documents and records.
Enter parts and labour information accurately into the system.
Assist with warranty paperwork and repair documentation.
Maintain accurate filing and data entry.
Perform general office duties and provide administrative support to management.

QUALIFICATIONS

Previous office administration or automotive/truck repair shop experience is an asset.
Strong computer and data-entry skills.
Good knowledge of Microsoft Office, especially Excel and Outlook.
Strong communication and customer service skills.
Good organization and attention to detail.
Ability to multitask and work in a busy repair-shop environment.
Ability to work independently and as part of a team.
Experience with accounting or invoicing software is an asset.
Knowledge of truck and trailer repair terminology is an asset.
Must be reliable, punctual, and professional.
