Full job description

Oulton College is seeking a Health Administrative Clinical Coordinator to support the day-to-day administrative coordination of student clinical placements for our Bachelor of Science in Nursing (BScN) and Practical Nursing (PN) programs in Moncton, NB. This role focuses on the administrative processes that support clinical placements, including scheduling, documentation, and record management. A background in Nursing is not required but is considered an asset. We are looking for someone with very strong administrative, organizational, and time management skills with an aptitude for technology.

Working closely with the nursing team, faculty, students, and external clinical partners, the successful candidate will coordinate logistics, maintain accurate databases, and support onboarding and compliance requirements. This is an ideal opportunity for a highly organized, detail-oriented professional who thrives in a fast-paced environment and enjoys supporting the operational side of healthcare education.

Key Responsibilities

Coordinate with the nursing team to secure clinical placements and shifts
Ensure all required clinical agreements and documentation are accurate and up to date
Track student clinical progress and report updates to the nursing team
Coordinate schedules for students and instructors
Support communication between students, faculty, and clinical sites
Assist with onboarding requirements (e.g., documentation, immunizations, access cards, etc.)
Address scheduling changes and administrative issues as they arise, including arranging make-up shifts
Track and report clinical attendance hours for both students and instructors
Maintain organized records and databases related to clinical placements
Maintain and update the clinical placement database, ensuring learning outcomes are current and all entries are accurately tracked
Coordinate and support incident reporting processes, ensuring accurate documentation, timely submission, and appropriate follow-up

Requirements

Diploma in Administration or related field of study
Experience in an administrative, coordination, or healthcare environment is considered an asset
Strong communication skills with the ability to effectively interact with students, faculty, and external stakeholders
Excellent organizational and time management skills with the ability to manage multiple priorities
Strong problem-solving abilities and sound judgment in day-to-day decision-making
Ability to make timely and effective decisions in a fast-paced environment
High level of attention to detail and accuracy
Ability to handle sensitive information with professionalism and confidentiality
Proficiency in Microsoft Office and database management systems
Ability to work independently while collaborating with cross-functional teams
Technical aptitude
