Administrative Assistant, Member Experiences and Operations

About the team
The Member Experience and Operations team supports Saskatchewan teachers’ directly through member experience, professional, development, and governance. The team provides administrative and office support to Council and committees.

What you’ll do
The Administrative Assistant, Member Experiences and Operations, is part of the team providing administration and office support to programs that support member experience, operations, professional development, and governance. This includes Council and committees support, along with other duties as assigned. The portfolios may change depending on the overall needs and requirements of the work unit and the Federation.

Responsibilities include:

Carry out a wide range of activities such as drafting reports, contracts, decision items, and other documentation for review.
Provide general clerical support for work unit activities and serve as a reliable backup for key administrative functions within the Federation.
Support strategic and/or operational committees as assigned; coordinate meeting dates, book meeting rooms, prepare documentation, organize refreshments and meals and attend meetings to record, format and distribute notes.
Compile and analyze information for reports or presentations. Prepare and/or review presentations, charts, graphs or tables as required.
Provide support to the annual budgeting process, including data entry and tracking expenses.
Review/code invoices and expenses and bring any items of concern or question to the attention of the work unit leader.
Respond to general inquiries through written correspondence, email, in person, or by phone.
Prepare and proofread correspondence, drafts, meeting documentation, reports and publications as required and forward to appropriate individual for approval and signature, ensuring they are consistently well organized, proofread for accuracy and distributed in a timely fashion.
Create and maintain work unit procedural manuals, project planners, and workflows.
Provide direct, one-on-one member support at the Federation information desk and event registration tables.
Provide support for conferences, workshops and meetings which may require assistance outside of regular work hours or an adjusted schedule.
Coordinate logistics for Federation events as assigned including scheduling, booking facilities and meals, gathering required workshop materials and other tasks as required.
Process and track registrations for events offered by the Federation; follow procedures to ensure accurate data input on the database and provide confirmation to participants; process transfers and withdrawals as required.
Correspond with facilitators and attendees to confirm their attendance and requirements and provide information on expenses.
Provide attendee support before, during, and after events, including on-site support during the event.
Coordinate the production, design and distribution of supporting documentation, promotional materials and web updates with design/production unit as required.
Collect and collate event evaluation data and draw conclusions, advise and instigate changes based on the information received.

What you’ll bring

Completion of a one-year business course combined with 2-3 years of increasingly responsible administrative experience.
Proficiency in the use of Microsoft 365 including Word, Teams, Excel and PowerPoint is required. Knowledge of Microsoft Copilot and Dynamics 365 is considered an asset.
Effective skills in developing and maintaining effective working relationships with all staff.
