Accounts Receivable Clerk, Accounting

About the team
The Saskatchewan Teachers’ Federation team of accounting professionals oversee all accounting and financial activities, and establish financial policies, procedures, internal controls and reporting systems.

What you’ll do
The Accounts Receivable Clerk is responsible for ensuring accurate and timely processing of accounts receivable transactions, including invoicing, cash application, deposits, and remittance monitoring, while maintaining compliance with internal controls, legislation, and organizational policies. This position contributes to financial integrity by managing payments, deposits, reconciliations and reporting, supporting the audit process and providing exceptional service to internal and external stakeholders.

Responsibilities include:

Receive monies and process documents for all school division remittances and prepare bank transfers.
Post AR invoices into the accounting system, verify coding and applicable sales tax, and collaborate with other units as required.
Perform the day-to-day processing of accounts receivable including timely and accurate processing of all cash, cheques, credit card payments and EFT’s.
Prepare bank deposits.
Monitor school divisions remittance details and correspond with school divisions addressing non-payments, late payments and other irregularities such as using incorrect rates and under/over remittances.
Provide membership fee, contingency levy and LTD premium remittance support to school division personnel.
Prepare monthly accounts receivable reports for management, highlighting areas of concern and following up with customers to address late payments when necessary.
Safeguard assets and accurate and timely recording of all transactions by ensuring compliance with internal controls.
Complete accounts payable payment processes of cheques and EFT files for all entities, upload files to the bank for payments.
Create the Portaplan EFT file and upload file to bank.
Create purchase orders from purchase requisitions.
Convert purchase orders to match with received invoices once goods and services are received.
Run interfund report, ensuring accurate and timely bank transfers and recording of the transfers.
Process casual and STS payroll, and T4As.
Prepare payroll related payments by electronic transfer using the automated payroll and banking systems.
Confirm payroll deductions and liabilities for provincial and federal income taxes, employment insurance, Canada Pension Plan and prepare remittances for payment.
Maintain employee confidence and protect payroll operations by keeping information confidential.
Remain up to date with changes in payroll legislation.
Assist the Accounts Payable Clerk with processing accounts payable invoices and expense claims.
Manage the accounting email inbox, ensuring timely and accurate responses to inquiries and proper handling of correspondence.
Assist with year-end audit by preparing the required information and communicating with the auditors.
Prepare documentation for the President and senior administrative staff leased vehicle taxable benefits.
Prepare files for off-site storage and set up new files for all funds for new fiscal years. Compile lists of files to be destroyed to be approved by manager.
Distribute monthly financial statements and reports.
Support month-end and year-end closing processes related to account receivable.
Maintain professional and technical knowledge by attending educational courses, workshops and conferences.
Provide back-up services for the Payroll Officer and Accounts Payable Clerk.

What you’ll bring

Completion of an accounting or business diploma from a recognized educational institution plus 2-3 years of related experience.
Experience in payroll along with a National Payroll Institute designation is an asset.
Demonstrated ability to effectively use payroll, accounting and Microsoft applications.
Effective interpersonal skills in developing and maintaining effective working relationships.
High work standards related to information accuracy, completeness and confidentiality.
Demonstrated application of analytical and problem-solving skills and ability to work under strict deadlines.
Demonstrated initiative in undertaking assignments and completing work.
Knowledge of office procedures and practices.
