Job Overview

We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Duties

Manage front desk responsibilities, including greeting visitors and directing them appropriately
Handle multi-line phone systems with professionalism, ensuring clear communication and excellent phone etiquette
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and other relevant software
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents
Provide exceptional customer support by addressing inquiries promptly and courteously
Assist with bookkeeping using QuickBooks or similar accounting software to support financial record-keeping
Support administrative tasks such as proofreading documents, scheduling appointments, and coordinating meetings
Conduct clerical duties including copying, scanning, faxing, and managing incoming/outgoing correspondence

Skills

Proven experience with office procedures and administrative support roles
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
Experience with data entry, filing systems, and maintaining accurate records
Customer service expertise with professional phone etiquette and friendly demeanor
Familiarity with multi-line phone systems and front desk operations
Bookkeeping skills using QuickBooks or similar software are highly desirable
Attention to detail for proofreading documents and ensuring accuracy in all communications
Strong typing skills with high accuracy levels to support efficient workflow
