We are currently looking to hire a:
Administrative Assistant
Diabetes Program
1 – Full Time, Permanent (35 hours/week)
Reporting To: Manager, Interprofessional Primary Care Team
The Scarborough Community Diabetes Program consists of a specialized interdisciplinary team with a focus on providing Diabetes education and services for community members living with or at risk of developing Type 2 Diabetes.
Purpose:
The Administrative Assistant will contribute to the efficient day-to-day operations of the program, and supports the work of management and other staff.
Scope and Accountability:
The Administrative Assistant’s key role will be maintaining the overall welcoming tone of the reception area and responds effectively to problems that arise. In addition, s/he will cancel, book or rebook appointments and provide general administrative support. The Admin Assistant will be required to open and close the building at times, following relevant security procedures. As the first point of contact in the organization, s/he must be sensitive to the barriers that many individuals face when accessing health care services.
Key areas of responsibility:
Administrative support to the Diabetes Program:
· Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
· Maintain an accurate and confidential filing system as per SCHC's documentation protocols.
· Take minutes at meetings and submit minutes for approval.
· Ordering program supplies as required.
· Relay voice mail from the general mailbox to the appropriate staff member.
· Data entry and upkeep of the program’s databases, ensuring a high level of accuracy.
· Create and modify documents using Microsoft Office.
· Support staff in assigned project and outreaches.
· Supporting Diabetes Team program planning and development.
- Assist in providing information to clients and visitors by maintaining/updating bulletin boards and pamphlet displays.
- Maintaining and updating Diabetes Team inventory/supplies as required.
- Communicating with physicians and other referral sources as needed.
Support to the program coordinator:
- Maintain confidential records and files.
- Maintain records of minutes.
- Review and edit reports to the program manager/director.
- Prepare documents and reports on the computer.
- Assist with clinician schedules.
- Compile and maintain statistics as per Ministry of Health's Diabetes Branch criteria.
Provide receptionist services:
- Greet and assist clients and visitors.
- Answer phones.
- Direct calls and respond to inquiries.
- Reply to general information requests with the accurate information.
- Booking and scheduling of clients.
- Create chart and register clients in electronic medical record.
Other related duties as required:
- Conduct chart audits as required.
- Participate in organizational committees and QI initiatives.
- Support SCHC IT development and infrastructure.
- Adhere to WHMIS protocols and agency standards.
- Other duties as assigned by program coordinator/manager.
Scope and Accountability:
As an interdisciplinary team member the Diabetes Administrative Assistant provides administrative, clerical and technical support for the Diabetes Team to ensure service delivery for the Scarborough population base is maintained.
Educational and/or Professional Qualifications:
- Demonstrated knowledge, skills and abilities in business administration either attained from a diploma from an accredited university or college program or through an equivalent level of experience.
- Administrative Assistant certification ( in progress or willing to complete) would be considered an asset
Level of Experience:
· 2-3 years current administrative office experience
· Community Health and program planning experience considered an asset
· Typing skills at least 60 word per minute
Skills and Attributes:
· Demonstrated ability to practice within Person and Family Centred Care environment.
· Excellent communication skills (verbal/written) in English.
· Ability to function in other languages (preferably Cantonese, Mandarin, South Asian, or Arabic) would be a strong asset.
· Sensitivity and awareness of culturally, racially, economically, and socially diverse communities.
· Strong IT skills in software, database, and networking.
· Strong time management skills.
· Ability to multi-task.
· Excellent organizational skills.
· Ability to work as a team player
· Demonstrated commitment to professional development and continuous learning considered an asset.
· Ability to work collaboratively with members of the interprofessional team.
· Valid Ontario driver’s license considered an asset.
· Subject to a police reference check as per agency protocol.
Significant Working Conditions:
· Flexibility of hours - occasional evenings and rotational weekend work required.
· Traveling as required to support program planning and delivery of services.
