ROLE SUMMARY

The Administrative Assistant is a key member of our team as we seek to help our clients achieve lifetime financial security. As the Administrative Assistant, you will have three critical areas of focus on our team:

1. delivering an exceptional client experience for current and potential clients who call or come into our office

2. ensuring a full and balanced advisor calendar of appointments creating sales opportunities

3. helping to create a smooth, efficient and compliant office

KEY ACCOUNTABILITIES:

As a part of a small team, you will be required to, but not limited to,

¨ Appointment making / client follow-up calls

¨ Providing accurate, personalized client administrative services

¨ Completing and shepherding paperwork through Head Office as permitted

¨ Managing the administrative side of the advisor's practice conscientiously and reliably to help ensure and maintain compliance

¨ Managing advisor's workflow (preparation for client meetings, follow up, etc.)

¨ Supporting the Advisor to create marketing / sales opportunities (mining client data, marketing efforts, mailers, etc.)

¨ Strong Keyboarding & Computer skills – is familiar with basic word processing & office systems; is comfortable with computer programs and accessing computer systems

¨ Is patient and composed under pressure

¨ Resilient, able to handle objections and challenges from clients

Personal Reliability

¨ Dependable and Conscientious- able to work independently

Experience in Financial services is an asset but can be overcome with a strong willingness to learn and develop. We offer a semi-flexible working schedule. We are looking for someone to work 5 – 6 hours per day 4 – 5 days per week. Ideally, a mutual fund license and/or mutual fund admin experience would be preferred, but not required. The salary range for this position is negotiable, based on part-time employment depending on the skills and experience of the candidate.
