Administrative Assistant

We are looking for a highly organized, self-motivated Administrative Assistant to join our growing team. This position reports directly to the Controller. If you enjoy staying organized, learning new systems, and supporting a variety of business functions, we'd love to hear from you.

What You’ll Be Doing

Primary Duties and Responsibilities:

Provide day-to-day administrative and accounting support to the Controller.
Prepare reports, correspondence, forms, and business documentation.
Organize and maintain electronic filing systems for document management and company records.
Assist with Accounts Payable and Accounts Receivable administration.
Process incoming EFT and cheque payments.
Complete credit card reconciliations.
Correspond professionally with customers and vendors via phone and email, responding to inquiries as required.
Assist with customer and vendor account setup, process credit applications, and maintain digital customer records.
Support accounting reconciliations and maintain accurate financial records.
Coordinate employee onboarding, prepare employee documentation, and maintain employee files.
Maintain digital fleet records.
Order and manage office supplies for all branch locations.

Secondary Duties and Responsibilities:

Coordinate company marketing initiatives and social media content.
Assist with safety administration and compliance documentation.
Provide administrative support for special projects and company initiatives.
Provide first-level IT support for internal office systems and technology.
Perform additional administrative duties and responsibilities as required.

What You’ll Bring to the Team

Qualifications and Requirements:

Valid Class 5 Alberta Driver’s License with a clean abstract required.
Previous administrative experience is required; accounting experience is considered an asset.
Strong organizational and time management skills.
Self-motivated with the ability to work independently, take initiative, and solve problems proactively.
Excellent attention to detail and accuracy.
Proven ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Excellent written and verbal communication skills.
Strong computer skills with the ability to quickly learn and adapt to new software and business systems.
Experience with Sage 50 Accounting software is considered an asset.
Ability to maintain confidentiality and exercise sound judgment.
