MacEwan University is seeking a Project Coordinator for a part-time (0.8 FTE) 15-month, non-recurring term opportunity with the School of Continuing Education.
The Project Coordinator is responsible for coordinating the planning, organization, and delivery of projects that advance the School of Continuing Education’s (SCE) strategic goals. Under the direction of the Senior Business Development Officer, the Project Coordinator translates established project goals and priorities into actionable project plans and ensures activities remain aligned with defined outcomes. You will manage project plans, schedules, budgets, and documentation, facilitating communication among internal and external stakeholders, and supporting quality assurance, reporting, and evaluation. By applying project management best practices, you will help ensure that projects are delivered on time, within scope and budget, and in alignment with institutional policies and stakeholder requirements.
Where projects are grant-funded, the role also coordinates compliance, reporting, and financial accountability activities to ensure projects meet funding requirements and deliverables.
Key responsibilities include:

Coordinating activities, timelines, and roles with multiple stakeholders;

Breaking down major deliverables into manageable components, integrating milestones into project schedules, and monitoring progress against agreed deadlines;

Coordinating the people, materials, and services required to achieve project outcomes and program development goals;
-
Tracking and reporting on budgeted spending, grants, and/or inventory to support accountability and transparency;
-
Coordinating procurement of external services, consultants, SMEs, and other project resources in accordance with university processes; where applicable, ensuring alignment and compliance with funding agreements and guidelines;

Organizing and facilitating meetings, preparing agendas, records decisions, and following up on action items;

Managing communication protocols (e.g., shared calendars, resource repositories, process maps) to ensure clarity and accountability among internal and external stakeholders;

Managing events, focus groups, and sector consultations;
-
Preparing and maintaining accurate project documentation, including contracts, agreements, meeting minutes, records, and progress updates;

Preparing status updates, briefing notes, presentations, updates, and final reports for leadership and stakeholders; and
-
Collaborating and communicating effectively with all project stakeholders with an appropriate cadence.
You will have:

Proficiency in Microsoft Office Suite and collaboration platforms; and

Experience using Asana, Hubspot, SIS and Outlook, Sharepoint and Teams would be considered an asset.

A minimum of a Bachelor’s degree in Business Administration, or related field.

A minimum of 3 years of project coordination experience, preferably in a post-secondary or public sector environment.

Demonstrated experience coordinating projects with multiple stakeholders.

Experience with budget tracking and reconciliation.

Experience or knowledge of the transportation sector would be considered an asset.

Experience working on multi-stakeholder projects would be considered an asset.

Experience with grant-funded projects, compliance reporting, or government funding agreements would be considered an asset.

Experience supporting program or curriculum development projects would be considered an asset.
