Full job description

Overview

We are seeking a detail-oriented and organized Administrative Assistant to join our amazing Parlatore Law team. The ideal candidate will play a crucial role in supporting daily operations within our office, particularly in a legal setting. The position will offer the opportunity to also do some junior law clerk work by handling real estate law matters while being trained.

This position requires proficiency in various administrative tasks, excellent communication skills, and the ability to manage multiple responsibilities efficiently.

Responsibilities

- Manage phone systems and handle incoming calls with professionalism and courtesy.

- Perform data entry tasks with accuracy and attention to detail.

- Assist in maintaining organized records and files, ensuring all documents are easily accessible.

- Accounting support for basic accounting tasks and financial record keeping.

- Provide support to the legal office team by scheduling appointments and managing client inquiries.

- Maintain a clean and organized reception area, creating a welcoming environment for clients.

- Exhibit strong phone etiquette while interacting with clients

- Collaborate with team members to ensure smooth office operations and effective communication.

- Driving to various financial institutions to perform banking deposits on real estate law matters. Having your own vehicle is required. Mileage will be paid to you.

- Assist with marketing initiatives to enhance client retention

- Support the lawyers and law clerks with cases

- pickup of office supplies

- assist with ID verification of clients

- assist with accounting

Qualifications

- Previous experience as a Juinor Law Clerk/Administrative Assistant or in a similar clerical role is preferred.

- Familiarity with phone systems and strong phone etiquette skills are essential.

- Proficiency in data entry and computer software applications.

- Experience with Cosmolex accounting software is a plus.

- Experience working in a law office is a plus.

- Strong organizational skills with the ability to prioritize tasks effectively.

- Excellent verbal and written communication skills, demonstrating professionalism at all times.

- Ability to work independently as well as part of a team in a fast-paced environment.
