Accounting AdministratorJob Summary
We are seeking a detail-oriented and organized Accounting Administrator to join our team. In this role, you will be responsible for a variety of accounting, administrative, and operational functions, ensuring accurate financial record-keeping while supporting the day-to-day operations of the company.
The ideal candidate is highly organized, has excellent attention to detail, and is comfortable working with multiple accounting software platforms. This position is ideal for someone who enjoys working in a collaborative environment, managing multiple priorities, and maintaining accurate financial and inventory records.
Key Responsibilities
- Manage accounts payable and accounts receivable using QuickBooks or similar accounting software.
- Prepare and issue customer invoices, monitor outstanding accounts, and follow up on overdue payments.
- Process invoices, payments, and deposits accurately and in a timely manner.
- Perform data entry and reconcile accounts to ensure the accuracy of financial records.
- Process payroll using CanPay or a similar payroll system.
- Maintain general bookkeeping, including journal entries, ledger maintenance, and expense tracking.
- Conduct account reconciliations and investigate discrepancies.
- Create, schedule, and manage work orders, ensuring they are accurately documented and completed.
- Monitor inventory and stock levels, ensuring adequate quantities are maintained while minimizing shortages and overstock.
- Receive inventory, update inventory records, and assist with purchasing and replenishment of stock as required.
- Assist with budgeting, forecasting, and financial reporting.
- Prepare monthly, quarterly, and year-end financial reports for management.
- Maintain organized financial, inventory, and operational records in accordance with company policies.
- Work closely with internal departments to ensure timely processing of invoices, work orders, inventory requests, and payments.
- Assist with month-end and year-end closing procedures.
- Support other accounting and administrative duties as required.
Qualifications
- Previous experience in an accounting, bookkeeping, finance, or office administration role.
- Proficiency with QuickBooks or comparable accounting software.
- Experience with accounts payable, accounts receivable, invoicing, and bank reconciliations.
- Familiarity with payroll processing using CanPay or similar payroll software.
- Experience managing work orders and coordinating administrative workflows.
- Knowledge of inventory management and stock control procedures.
- Strong understanding of bookkeeping principles and accounting procedures.
- Excellent organizational skills with exceptional attention to detail.
- Strong analytical and problem-solving abilities.
- Proficient in Microsoft Office, particularly Excel.
- Ability to manage multiple priorities while meeting deadlines.
- Strong written and verbal communication skills.
- Experience in financial services, wholesale, distribution, or a related industry is considered an asset.
