The Rehab Grid is seeking a Part-Time Front Desk Clinic Administrator to join our growing multidisciplinary rehabilitation clinic in Stouffville. This role is ideal for someone who enjoys helping people, building relationships with patients, and ensuring exceptional customer experiences from the moment they walk through our doors.

Position Overview
As the first point of contact for our patients, you will play a critical role in delivering an outstanding patient experience. You will manage front desk operations, appointment scheduling, patient communication, insurance billing support, and general clinic administration.
The ideal candidate is confident on the phone, highly organized, detail-oriented, and passionate about customer service.
Key ResponsibilitiesPatient Communication & Customer Service
- Answer incoming phone calls, emails, and text inquiries professionally and efficiently
- Assist patients with appointment bookings, questions, and clinic information
- Conduct appointment confirmations and patient follow-up calls
- Build positive relationships with patients while delivering exceptional customer service
- Handle patient concerns with professionalism and empathy
Front Desk & Reception
- Welcome and check in patients in a warm and professional manner
- Create a positive first impression for every patient visit
- Maintain an organized and efficient reception area
- Ensure smooth patient flow throughout the day
Appointment Scheduling & Coordination
- Book, reschedule, and optimize practitioner schedules
- Manage cancellations, waitlists, and appointment reminders
- Coordinate multiple healthcare providers' schedules efficiently
- Assist in maximizing clinic productivity through effective scheduling
Medical Administration
- Maintain accurate and confidential patient records
- Work within electronic medical record (EMR/EHR) systems
- Complete administrative tasks and documentation accurately
- Ensure compliance with clinic procedures and privacy standards
Billing & Insurance
- Process payments and issue receipts
- Submit and manage direct insurance billing claims
- Answer patient questions regarding insurance coverage and payments
- Reconcile daily transactions and maintain billing accuracy
Clinic Operations Support
- Assist with general office administration duties
- Support practitioners and management as needed
- Help maintain a clean, organized, and professional clinic environment
- Participate in team meetings and ongoing training initiatives
Qualifications Required
- Minimum 1 year of experience in customer service, reception, administration, or healthcare administration
- Strong verbal and written communication skills
- Professional phone etiquette
- Exceptional organizational and multitasking abilities
- High attention to detail
- Comfortable learning new software systems
- Ability to work independently and as part of a team
- Legally eligible to work in Canada
- Fluent in English
Preferred (Assets)
- Medical Receptionist experience
- Physiotherapy clinic experience
- Chiropractic clinic experience
- Massage therapy clinic experience
- Medical Office Assistant (MOA) experience
- Experience with EMR/EHR software
- Experience with direct insurance billing
- Experience working in a rehabilitation or healthcare setting

Job Details
Job Type: Permanent Part-Time
Hours: 15–25 hours per week
Schedule May Include:
- Day shifts
- Evening shifts
- Occasional Saturdays
