Full job description

We are seeking a reliable, organized, and customer-focused Office Administrator / Receptionist to join our team. This position is ideal for someone who enjoys working in a fast-paced office environment, excels at multitasking, and has strong communication and organizational skills.

As the first point of contact for clients, you will play a key role in creating a positive experience while supporting day-to-day office operations.

Key Responsibilities

Greet clients and visitors in a professional and friendly manner.
Answer and direct incoming phone calls and respond to email inquiries.
Provide excellent customer service and maintain positive client relationships.
Process customer orders accurately and efficiently.
Perform data entry and maintain accurate records in company systems.
Create, update, and maintain Excel spreadsheets and office databases.
Schedule appointments, meetings, deliveries, and other office activities.
Communicate with vendors to obtain quotes, negotiate pricing, and coordinate orders.
Monitor office supplies and place purchase orders as needed.
Perform basic calculations related to invoices, pricing, quantities, and order processing.
Organize and maintain filing systems, both electronic and physical.
Assist with general administrative duties and support other departments as required.

Qualifications

Previous experience in an administrative, receptionist, or office support role preferred.
Excellent verbal and written communication skills.
Strong customer service and interpersonal skills.
Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
Accurate data entry and strong attention to detail.
Basic mathematical skills and confidence working with numbers.
Strong organizational and time management abilities.
Ability to prioritize tasks and work independently.
Experience negotiating with vendors or suppliers is an asset.
Professional appearance and positive attitude.
