Full job description

Job Overview
We are seeking a detail-oriented and organized Office Administrator to join our team. This role is essential in ensuring smooth daily operations within our office environment. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency with various office software. Experience in Occupational Health & Safety, or the Construction industry, is a plus, but we welcome candidates with a solid background in administrative support across different industries. This position offers an opportunity to contribute to a professional and collaborative workplace while developing your administrative expertise.

Responsibilities

Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using Microsoft Office, other Intranet programs, and QuickBooks as needed
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents
Assist with scheduling appointments and coordinating meetings for staff and clients
Provide customer support by addressing inquiries promptly and efficiently, maintaining excellent phone etiquette
Proofread correspondence, reports, and other documents for accuracy and clarity
Handle clerical tasks including photocopying, scanning, mailing, and managing office supplies

Skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with QuickBooks
Strong data entry skills with high accuracy and attention to detail
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Previous clerical or administrative experience preferred
Exceptional customer service skills with professional phone etiquette and communication abilities
Ability to manage multi-line phone systems efficiently
Familiarity with filing systems, document proofreading, and general office procedures
Strong computer skills, including typing speed and proficiency

Pay: $20.00-$22.00 per hour
