Job Overview

We are seeking a professional and organized Medical Secretary/Receptionist to join our healthcare team. The ideal candidate will serve as the first point of contact for patients, providing exceptional customer service while managing administrative tasks efficiently. This role requires a strong understanding of medical office operations, including familiarity with electronic medical records and office management systems. The Medical Secretary/Receptionist plays a vital role in ensuring smooth daily operations and maintaining a welcoming environment for patients and staff alike.

Responsibilities

Greet patients and visitors warmly, ensuring a positive first impression
Manage multi-line phone systems to schedule appointments, answer inquiries, and relay messages
Manage emails to schedule appointments, answer inquiries, and relay messages
Verify patient information and update electronic medical records accurately using OSCAR EMR
Assist with check-in and check-out procedures, including collecting insurance information and payments
Prepare and organize patient charts, forms, and documentation in compliance with privacy regulations
Coordinate appointment scheduling, rescheduling, and cancellations efficiently
Assist with managing referrals from physicians and other healthcare providers
Ordering supplies
Maintain a clean and organized front desk area to promote professionalism
Support billing processes and insurance claims submission as needed
Collaborate with medical staff to ensure timely patient flow and communication

Skills

Proficiency with Electronic Medical Records (EMR) systems such as OSCAR
Strong knowledge of Medical Terminology relevant to dental and medical practices
Excellent organizational skills with attention to detail
Ability to handle multi-line phone systems and emails professionally and efficiently
Exceptional customer service skills with a friendly demeanor
Familiarity with office equipment, including computers, printers, and fax machines
Ability to multitask effectively in a fast-paced environment
Strong communication skills, both verbal and written

College certification in medical office administration and/or relevant experience as a receptionist in a Medical Office setting is an asset
