Full job description

Are you a high-energy professional who thrives in a fast-paced environment? Our growing real estate brokerage is looking for a Front Desk Administrator who is as sharp as they are welcoming. As the first point of contact for our clients and the backbone of our agent support team, you will play a critical role in maintaining the professional standard of our office.

We aren't just looking for a "receptionist", we are looking for a detail-oriented team player who takes pride in keeping the wheels turning and the office vibe positive.

Key Responsibilities

The Face of the Office: Greet clients, vendors, and agents with a professional and energetic demeanor.
Listing Coordination: Manage MLS listings, including uploading photos, processing price changes, and ensuring all documentation is REBBA compliant.
Showings & Scheduling: Use tools like BrokerBay or ShowingTime to coordinate appointments and manage high-volume call traffic.
Deal Support: Assist the Deal Secretary/Manager with initial paperwork and ensuring all files are organized and complete.
Office Logistics: Maintain a pristine office appearance, manage supplies, and provide general administrative support to our top-producing agents.
Digital Savvy: Assist with basic social media updates and office marketing materials as needed.

Qualifications & Skills

Experience: Minimum 1 year of experience in a front desk or administrative role (Real Estate experience is a mandatory).
Attention to Detail: You have a "eagle eye" for typos and missing signatures; you understand that in real estate, the small details prevent big problems.
Team Player Mentality: You’re ready to jump in and help wherever needed, no task is too small for the success of the team.
Communication: Exceptional verbal and written communication skills in English.
Tech Proficiency: Solid experience with Microsoft Office 365. Familiarity with Lonewolf, BrokerBay, or TRREB/ITSREFE systems is highly preferred.
Energy: A positive, "can-do" attitude that remains calm and polite under pressure.
