Company Overview
Dymaco Inc. is an engineering and consulting firm based in Thunder Bay, Ontario, serving clients in the mining, heavy industrial, and commercial sectors. Our team supports local and international projects through project planning, technical design, feasibility studies, and related engineering services. We are looking for a proactive, organized, and detail-oriented Executive Assistant to support our leadership team and help keep our office running smoothly.

Job Overview
As the Executive Assistant at Dymaco Inc., you will provide day-to-day administrative support to the leadership team and help coordinate the activities that keep a busy engineering office organized. This role is a strong fit for someone who is professional, dependable, comfortable managing competing priorities, and confident communicating with clients, visitors, vendors, and internal team members.

Responsibilities

· Greet visitors, support front desk operations, and help coordinate day-to-day office logistics.

· Manage executive calendars in Microsoft Outlook, including meetings, appointments, and travel arrangements.

· Answer and direct incoming calls professionally, taking messages and routing inquiries as needed.

· Maintain organized digital and physical filing systems to support accurate record keeping and easy document retrieval.

· Assist with bookkeeping tasks in QuickBooks, including invoicing and expense tracking.

· Proofread correspondence, reports, and other documents for clarity, accuracy, and professionalism.

· Handle confidential business, financial, client, and project information with discretion and professionalism.

Qualifications

· Business, accounting or HR education/experience is considered an asset.

· Strong organizational skills with the ability to manage multiple priorities in a busy office environment.

· Proficiency with Microsoft Office, including Word, Excel, and Outlook.

· Experience with QuickBooks Online for bookkeeping tasks is considered an asset.

· Excellent attention to detail, with the ability to proofread documents and maintain accurate records.
