Ingaged Creative Productions Inc. is an Indigenous-owned event services and creative production company based in Thunder Bay, Ontario, with offices at 610 Simpson Street and on Fort William First Nation. We produce a wide range of events across multiple sectors, including corporate events, tradeshows, multi-day regional conferences, and large-scale Indigenous community gatherings and cultural events. About the Role
The Bookkeeper (Finance Operations) keeps Ingaged's books accurate and its records ready for review. The role leads reconciliation and month-end close preparation. It supports billing, collections, payables, payroll, and the financial side of event delivery. It also maintains our fixed asset records and prepares the schedules our external accountants rely on at year-end. This is the seat that turns a busy month of transactions into records the company can rely on, and a busy year into a close that holds together. It is the base of our finance function, and it is built to grow.
Speed with accuracy is the defining feature of this role. Our busiest event periods and our heaviest finance periods land on top of each other. October, November, February, and March bring close, settlement, and reporting deadlines at the same time that ticketing, registration, and event payment activity runs at its highest. The work has to be fast and it has to be right. Neither one on its own is enough here.
Judgment matters as much as technique. A large part of this role is deciding what to settle yourself, what to raise, and what to hold until it is approved. You will meet transactions with missing support, coding that does not look right, and settlements that do not match. We would rather you stop and ask than post something to clear a queue.
The work sits inside a finance function that is still being built, in a company that is growing quickly. Systems, templates, and written procedures are in progress rather than finished, and priorities move through the year. We would rather say that now than surprise you in month two. You will work closely with our Director of Finance, who works remotely, through a set weekly rhythm and clear approval paths. The expectation is independent execution rather than isolated decision making. Approvals and anything unusual route upward. The routine work is yours to own.
Our work supports events with and for Indigenous communities, Survivors, and the wider range of partners and clients we serve. Much of the money that moves through this role belongs to someone else. We are looking for someone who treats that as the reason the work has to be right.
What You'll Do
The first six areas below are the core of this role. The last is support work, where you prepare and maintain rather than own.
- Reconciliation and Month-End Close: Code and post transactions to the general ledger. Maintain rolling reconciliations across bank accounts, credit cards, and payment platforms. Reconcile registration, ticketing, and event payment activity to settlements and deposits. Reconcile HST balances to what has been filed and flag any differences for review. Investigate variances, resolve what you can, and log what needs approval. Prepare month-end schedules, working papers, and a written handoff stating what is reconciled, what needs review, and the next step on each open item.
- Billing, Receivables, and Collections: Prepare client invoices from approved quotes, contracts, and scope changes. Maintain billing schedules, apply payments received, and keep receivable records current by project. Follow up on overdue accounts by email and by telephone, and record the date, method, and outcome of each contact. Keep client, billing, and payment information current.
- Payables, Expenses, and Disbursements: Prepare vendor bills and payment packages for approval. Match invoices to purchase support and confirm coding before submission. Review project expenses, corporate card transactions, mileage claims, and reimbursements for documentation and approval. Hold anything without complete support and raise it. Keep vendor and payment records current.
- Payroll Support and Time Records: Collect and review project and event time records against approved schedules. Allocate labour hours by project, event, and department. Follow up on missing or inconsistent records. Identify overtime, break, and travel time exceptions for review, and provide approved time information for payroll processing.
- Capital Assets and Inventory Records: Maintain the fixed asset register, including additions, disposals, and accumulated amortization, and reconcile it to the general ledger. Record approved asset additions and disposals and file the supporting documentation. Prepare amortization schedules and entries for review. Reconcile inventory and work in progress records to the general ledger and identify differences worth investigating.
- Year-End and Statutory Support: Prepare the year-end trial balance, accrued liability listings, and continuity schedules for prepaid expenses, deposits, and long-term debt. Produce the ledger extracts our tax schedules need. Complete a year-end review of the general ledger for unusual, duplicate or unsupported transactions. Maintain the year-end open items register so everyone can see what is done and what is holding. Compile what our external accountants ask for, in the structure they ask for it.
- Project, Event and Partner Support: Maintain working budgets for assigned projects and events using approved quotes, contracts, and scope changes, and track actual and committed costs against them. Prepare draft settlement statements under venue and partner agreements, applying the contracted rates, inclusions, and exclusions, and maintain the supporting ledgers. Department managers own their budgets. Agreement terms, threshold tracking, and disputes are handled above this role. This role keeps the records current and prepares what gets reviewed.

Required
- Speed With Accuracy: The ability to work through volume quickly without letting the error rate climb. This role is measured on both, and the busiest weeks are when it matters most.
- Critical Thinking and Sound Judgment: Knowing what to decide, what to raise, and what to hold until it is approved. The discipline to stop a transaction that is missing support, even when somebody is waiting on it.
- Comfort in a Changing Environment: Ingaged is growing and its finance systems are still being built. Priorities move through the year. This role suits someone who can hold a standard steady while the work around them changes.
- Working Competence With Accounting Software: Transaction coding, bank feeds, and reconciliations. Ingaged uses QuickBooks Online, and we provide training on our own systems and conventions.
- Strong Spreadsheet Skills: Formulas, reconciliation layouts, and working papers a reviewer can follow without having to ask what you did.
- Clear Written Communication: Enough to prepare summaries that a remote reviewer can act on without a phone call.
- Willingness to Follow Up by Telephone: Collections and missing records often move faster on the phone than by email.
- Comfort Working in a Multicultural Team: Including colleagues for whom English is a second language.
- Three or more years of experience in bookkeeping, reconciliation, accounts payable, accounts receivable, or a related finance function.
- A postsecondary diploma, advanced diploma, or degree in accounting, finance, commerce, business, or a related field, or a demonstrated track record of equivalent professional experience.
Considered an Asset
- Four or more years of progressive full cycle bookkeeping or accounting operations experience.
- Experience preparing reconciliation packages and working papers for review by external accountants.
- Experience maintaining a fixed asset register and preparing amortization schedules
- Experience preparing year-end working papers and continuity schedules for external accountants
- Experience preparing HST reconciliations or supporting HST filings
- Experience with payment processors or high volume transaction environments.
- Experience supporting payroll preparation, including verifying hours and maintaining payroll records.
- Experience with commission, royalty, or partner settlement calculations.
- Experience in an organization with multiple revenue streams.
- Familiarity with Indigenous community contexts, organizations, and programming.
Operational Requirements
- Valid Class G or Class G2 Ontario Driver's Licence and personal automobile insurance. Local errands within Thunder Bay, including bank deposits and cheque pickups, are a regular part of this role. Overnight travel is not required.
- Where neither licence class is yet held, we will discuss a plan to obtain one and interim arrangements for the errand portion of the work.
- Ability to lift and carry up to 20 kilograms (44 pounds) occasionally, for example when moving supplies, records, or equipment, or when helping with event setup.
- Ability to work at a desk and at a computer for extended periods.
- The willingness and ability to work in an open-office, collaborative environment, which includes a resident office dog.
- A conditional offer for this role is subject to a credit check and a criminal record and judicial matters check, appropriate to a role that handles money and sensitive financial information.
- A six (6) month probationary period applies to this role for benefits eligibility purposes. Comprehensive health, dental, and vision benefits begin upon successful probation completion.
- Overtime is compensated in accordance with the Ontario Employment Standards Act, 2000. Where elected by the employee, paid time off in lieu of overtime pay is available at one and a half hours for every hour of overtime worked, under a separate written agreement.
- Work performed on a public holiday is compensated in accordance with the Ontario Employment Standards Act, 2000.
- Other duties as assigned, consistent with the purpose of this role and the operational needs of the department.
What We Offer
- Location: 610 to 612 Simpson Street, Thunder Bay.
- Starting Rate: $30.00 to $34.00 per hour, based on demonstrable bookkeeping, reconciliation, and finance operations experience. This posted rate reflects the starting position, with progression based on established criteria.
- Hours: Up to 40 hours per week, Monday to Friday, 8:30 AM to 5:00 PM.
- Hours Through the Year: Hours vary. Month-end, settlement cycles, event periods, and the company's year-end require extended hours. Quieter periods require fewer.
- Benefits: Comprehensive health, dental, and vision coverage following successful probation completion.
- Vacation: Two weeks per year, increasing to three weeks after five years of continuous service in accordance with the Ontario Employment Standards Act, 2000. Vacation pay is calculated and disbursed in accordance with the ESA.
- Time in Lieu: Where you elect it, paid time off in lieu of overtime pay is available at one and a half hours for every hour of overtime worked, under a separate written agreement. Lieu time is taken at a date agreed in advance.

- High-Availability Months: October, November, February, and March are periods of concentrated close, settlement, and reporting work, and they overlap with our heaviest event periods. Full availability is required during these months, with exceptions and accommodations considered in advance.
- Travel: This role does not require overnight travel. Local errands within Thunder Bay are a regular part of the work.
