Job Summary
This position is responsible for ensuring timely and complete posting of payables, cash receipts and cash disbursements. They identify errors and correct them, and report areas of interest to the Finance Manager.
The payroll aspect includes processing bi-weekly payrolls to the full and part time staff. This includes timely and accurate reporting of payroll data. Integrity, strong attention to detail and customer service are crucial for this role. In addition, this position requires an understanding of our benefits program, RRSP program, commission program and requires the posting of journal entries.
The Accounting and Payroll Administrator position is responsible for assisting the Finance Manager with the company's financial plans and policies, its accounting practices, and the conduct of its relationships with both internal employees and external vendors and lending institutions.
Job Duties
a) Main Duties
- Vendor relations- monitoring incoming emails, mail, calls (and any other form of contact) from vendors, ensure invoices are approved, recorded and paid on a timely basis. Ensure vendor statements are balanced and vendor request are either handled or escalated to the Finance Manager. Oversee accounts payable.
- Payroll and employees- coordinate with the HR department to ensure payroll is processed and recorded on a timely basis. This includes biweekly and ad-hoc payroll processing, and multiple standard report creation and delivery. Ensure monetary transactions with any employee are recorded. Monitor any employee receivables and oversee collection. Ensure compliance with government, company policy and payroll legislation including timely reporting and remittances.
- Customer relations- monitoring and responding to incoming emails, mail, calls (and any other form of contact) from customers related to their accounts, invoices and any other accounting related inquiry. If applicable, redirect the contact to the correct staff person. Ensure customer statements are sent out monthly. Oversee accounts receivable maintenance.
- Bookkeeping- oversee the maintenance of the general ledger accounts (including but not limited to preparing checks, account coding and posting invoices, preparing deposits, journal entries, reconciliations, petty cash).
- Liaise with other people in the company and assist with accounting related functions they may need assistance with.
- Maintain up to date schedules for debt, lease, capital asset and other required items.
- Maintain year-end working papers and spreadsheets and assist with preparation for any audits or independent reviews with support from management.
- Complete monthly reconciliation for assigned accounts.
- Assist in maintaining policy and procedure documentation for complex financial and accounting issues.
- Maintain an accurate and complete trail of supporting documentation for all financial and bookkeeping activities.
- Maintain up-to-date, complete and systematic filing system to support book-keeping and financial records.
- Comply with all IT and data security policies, procedures and practices.
- Answering phone calls and directing calls to the appropriate department. This responsibility is shared in with other departments onsite.
- Collecting and opening mail. Take all lending institution, vendor and customer related items that need accounting attention and pass on remainder to the related department head.
b) Other Duties
- Ability to self-manage tasks and meet multiple company deadlines
- Become competent with ADP Workforce Now and self initiate training on the platform to become the go-to staff person for ADP questions from managers and employees

- Committing to the training programs required to fulfill the functions of this role

Requirements
- Bachelor's degree or diploma in accounting, finance or related field required; or equivalent experience required. Understanding of accounting fundamentals is necessary.
- Accounting or Payroll designations are an asset.
- 2+ years experience in accounting and/or bookkeeping preferred
- Excellent computer skills. Knowing how to use Pivot tables is a bonus.
- Excellent communication skills both verbal and written.
- General understanding of computerized accounting systems and accounting fundamentals.
- Excellent working knowledge of Microsoft Word, Excel and Teams
- Accuracy and attention to detail while working under tight deadlines.
- Comfortable communicating with various types of individuals in various roles across the company.

- Billing and POS system experience is an asset.

Working Conditions

- Ability to self-monitor interruptions and put processes or barriers in place to mitigate excessive interruptions of non-value you added time (ie. Closing door during critical times etc.)
