Overview

We are seeking a dynamic and detail-oriented Office Assistant to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support across administrative, clerical, and customer service tasks. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent organizational skills, and possess a proactive attitude to keep our office running efficiently. Whether managing data entry, handling telephone calls, or supporting bookkeeping activities, you’ll be a key player in creating a welcoming and organized workplace.

Responsibilities

Greet visitors with professionalism and warmth.
Answer multi-line phone systems promptly and courteously, directing calls to appropriate departments.
Perform data entry tasks accurately using Microsoft Office, and QuickBooks software.
Maintain organized filing systems—both digital and physical—to ensure easy retrieval of documents.
Support bookkeeping activities with attention to detail.
Assist with clerical duties such as proofreading documents and managing correspondence.
Assisting the estimating department by preparing RFI's and CCO's, preparing job binders for them, and whatever other tasks needed.
Handle administrative tasks such as photocopying and scanning.

Experience

Prior office experience demonstrating strong organizational skills and multitasking ability.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience with QuickBooks.
Strong data entry skills with high accuracy.
Customer service experience that highlights excellent communication skills and professionalism.
Clerical experience including filing, proofreading, and managing administrative workflows
