Full job description

Overview
We are seeking a dedicated and organized Administrative Assistant/Intake coordinator to join our team. This role is essential in ensuring the smooth operation of our office, particularly within a therapy office environment. The ideal candidate will possess strong customer service skills and have a keen eye for detail, enabling them to manage various administrative tasks efficiently.

Duties

Provide exceptional customer service and support to clients and staff, addressing inquiries and resolving issues promptly.
Perform data entry tasks accurately, maintaining up-to-date records in our systems.
Assist with scheduling appointments and managing calendars for the dental office.
Handle phone calls with professionalism, demonstrating excellent phone etiquette.
Proofread documents and correspondence to ensure accuracy and clarity before distribution.
Organize office supplies and maintain an orderly work environment to enhance productivity.
Support the team with various clerical duties as needed, contributing to overall office efficiency.

Requirements

Proficiency in English
Bachelor’s or Master’s degree in Psychology, Counselling, Social Work, or a related mental health field. Current students in Psychology or related programs are also welcome to apply.
Proficiency in computer software applications, including word processing and spreadsheet programs.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Excellent customer service skills, demonstrating a friendly and professional demeanor at all times.
Attention to detail with strong proofreading abilities to ensure high-quality documentation.
Effective communication skills, both verbal and written, to interact with clients and team members seamlessly.
Ability to work independently as well as collaboratively within a team setting.
