ORGANIZATIONAL OVERVIEW:
University Settlement is a multi-service agency that was founded in 1910 and has the distinction of being the first community-based social service centre in the City of Toronto. University Settlement’s three offices are part of culturally rich and vibrant neighborhoods in downtown Toronto and North York. As active members of these diverse communities, University Settlement helps individuals and families to learn and grow by engaging them in social, cultural, recreational, and educational opportunities. University Settlement is committed to enhancing the quality of life of the people in the communities we serve through our many programs and services. With a full-time and part-time staff of approximately 150, University Settlement has developed programs to address the needs of more than 10,000 users annually through diverse areas such as settlement services, English language classes, employment counseling, senior services, youth programming, music and arts education, and daycare. In addition, our main site hosts a full recreation centre with pool, gym and fitness facilities.
Music & Arts School:
The Music & Arts School at University Settlement has been providing affordable, quality music and arts programs to children, teens, adults and seniors in downtown Toronto for almost 100 years. We function in the belief that arts education should be a right, not a privilege and that lessons should be available to everyone, regardless of their age, ethnicity, perceived talent, disability or ability to pay. The school provides high quality classes and lessons at affordable rates. Our subsidy fund assists low-income families, reducing barriers that would otherwise prevent equal access to extracurricular music and arts education.
JOB FUNCTION: To provide a broad range of administrative services and support to the Music & Arts School and to assist at concerts/events as required.
QUALIFICATIONS:
- A Bachelor's level degree in Music or Arts/Arts Administration or a combination of education and relevant experience
- At least two years related administrative experience
- Excellent written and verbal communication skills in English
- Excellent problem-solving skills with strong attention to detail
- Customer service and interpersonal skills
- Knowledge of MS Office, proven administrative and database skills
- Proven stakeholder relationship development skills
- Excellent time management and organizational skills with a proven ability to manage multiple projects, achieve results, work under pressure, and meet tight deadlines
- Demonstrated ability to work independently but also to function in a team environment
ASSETS:
- 2nd language (preferably Mandarin or Cantonese)
- Experience working in a diverse, multi-cultural environment; preference given to those with not-for-profit experience
- Experience with video editing and graphic design (Canva, DaVinci, Vegas, Premiere, etc.)
RESPONSIBILITIES:
- Provides administrative services to the Music & Arts School as required
- Manages program and client financial information in a confidential and discreet manner
- Assists in the planning and delivery of Music & Arts School programs
- Schedules staff and students as required, completing student registrations and updating teacher schedules
- Assists part-time teaching staff ensuring excellence in class delivery and that teachers strive to maintain optimum levels of musical education and experience in the classes offered
- Assists with day-to-day financial matters and the preparation of statistics and inventories
- Provides excellent customer service to Music & Arts School students and their families
- Assists with program publicity and communications outreach initiatives
- Assists with preparations of meetings and notification of meetings, prepare minutes
- Monitors instrument rentals and returns
- Assists with community outreach, School concerts and other School and/or Agency events
- Other duties as assigned by the Managing Director
TERMS OF EMPLOYMENT: Police Reference Check, satisfactory to University Settlement is a requirement of this position.
SALARY/RATE: $26.26 per hour, rate increases to include 70 cents in lieu of benefits after probation is passed.
SCHEDULE: Part time position starting in June 2022, Sundays from 9:00 am to 5:00 pm. Position starts May 2026
DETAILS: Contract position, restricted to individuals living within 125 km of the work location
