Position Overview
The Administrative Coordinator, Education Partner Operations supports the day-to-day administration of STOTT PILATES Academy partner operations. This is an execution-focused coordinator role designed to maintain continuity, accuracy, and timely support across shared administrative workflows.
The role provides first-level administrative support to partners, students, and internal stakeholders. The Admin Coordinator helps ensure information is accurate, organized, and processed within expected timelines.
Primary Focus of the Role
- Maintain continuity of core Education Partner Operations administrative workflows.
- Ensure accurate and timely processing of partner records, payments, royalties, class lists, and completion documentation.
- Provide professional first-level support through the shared education administration inbox, with clear triage and escalation.
- Maintain strong data integrity and organize records across EMS, CRM, trackers, and partner/student files.
- Provide defined backup support during absences or peak periods, based on prioritized needs.
Key Responsibilities
Shared Inbox, Zen-Desk and Partner Support
- Monitor the shared education administration inbox, manage assigned Zendesk tickets and partner communications, including triaging, responding to routine inquiries, filing, and escalating as appropriate.
- Act as a first-level administrative point of contact for partners, students, and internal stakeholders, providing timely, professional, and service-oriented support.
- Support partners with education-related documentation, payment status inquiries, class list status, completion letters, and general administrative follow-up.
Payment Application and Administrative Coordination
- Review incoming emails and documents related to payment confirmations, partner portal communications, and general education inquiries.
- Maintain organized digital records and ensure accurate filing of partner and student documentation.
Class Lists, Completion Letters, and Student Records
- Process class lists for assigned STOTT PILATES Academy education offerings in EMS, including reviewing, updating, and creating student records as needed.
- Process completion letters, update qualifications, and maintain related student records in EMS and CRM.
- Manage and distribute Host Partner completion letters as assigned.
- Maintain accuracy, consistency, and confidentiality across systems, files, and reports.
Administrative Backup and Process Support
- Provide defined backup coverage for other Education Partner Operations administrative workflows during absences, peak periods, or urgent coverage needs.
- Identify simple opportunities to improve administrative documentation, filing, handoffs, or workflow clarity.
- Support additional administrative projects and duties as assigned.
Key Success Measures
- Core administrative workflows are completed accurately and within expected timelines.
- Shared inbox items are triaged clearly, responded to professionally, and escalated when needed.
- EMS, CRM, trackers, and partner/student files are kept accurate, current, and organized.
- Partners, students, and internal stakeholders receive dependable administrative support.
Skills and Qualifications
- Post-secondary education in Business Administration, Office Administration, or a related field, or equivalent administrative experience.
- 1-3 years of administrative, customer service, operations support, or coordinator experience.
- Strong organizational and time management skills, with the ability to manage routine priorities and meet deadlines in a fast-paced environment.
- Excellent attention to detail and commitment to accuracy in data entry, documentation, and record maintenance.
- Strong written and verbal communication skills with a professional, service-focused approach.
- Comfort working with shared inboxes, trackers, spreadsheets, and business systems. (ZenDesk)
- Proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
- Experience working with CRM, ERP, EMS, or database systems is an asset.
- Ability to follow established processes, ask clarifying questions early, and escalate appropriately.
- Dependable and able to maintain accuracy during repetitive or high-volume administrative work.
- Service-minded, responsive, and respectful in communication with partners, students, and internal teams.
- Comfortable with structured processes, routine follow-up, and detailed record keeping.
- Able to manage assigned administrative tasks while recognizing when escalation is needed.
- Mandarin language proficiency, both spoken and written, is considered an asset
