Social Media & Front Desk Coordinator

We are a multi-service wellness clinic with two Toronto locations and a team of 40+ practitioners across massage therapy, chiropractic, physiotherapy, acupuncture, naturopathy, osteopathy and orthotics. We are hiring one person to do two things: run the front desk like a pro, and build our social media presence from the inside. You will spend roughly half your week greeting patients, managing bookings in Jane App and answering inquiries, and the other half with a phone or camera in hand, filming our practitioners, editing reels and growing our Instagram and TikTok.
This is not a "post three times a week and forget it" job. We want someone who walks up to a chiropractor between appointments and says, "Got two minutes? I want to film you explaining why people wake up with neck pain." If that sounds like you, keep reading.
What you will do
Social media & content (about 50%)
- Plan, shoot and edit short-form video (Reels, TikToks, Shorts) at both clinics every week. You will be behind the camera most of the time and occasionally in front of it.
- Be proactive with our practitioners: build relationships with them, learn what they are good at, pitch them content ideas and get them comfortable on camera. Getting a busy RMT to film a 30-second tip is a core skill for this role.
- Own the content calendar for Instagram, TikTok and Facebook. Schedule posts, write captions, manage hashtags and keep a consistent posting rhythm.
- Capture behind-the-scenes and day-in-the-life content, patient testimonials (with consent), practitioner intros, treatment explainers and clinic promotions.
- Engage with our community: reply to comments and DMs, maintain our auto-DM keyword flows, and flag questions that need a practitioner or the front desk.
- Keep an organized library of raw footage and finished clips in Google Drive so nothing gets lost.
- Track what is working (reach, saves, shares, follower growth, DMs and bookings from social) and report weekly to the Marketing Manager.
- Support campaigns and events: seasonal promos, giveaways, awareness months, gift cards, Google review pushes.
Front desk & administration (about 50%)
- Welcome patients warmly at check-in and check-out, and make every person feel looked after from the moment they walk in.
- Manage the schedule in Jane App: book, reschedule and cancel appointments, manage waitlists, fill last-minute gaps and confirm upcoming visits.
- Answer phone calls, emails and DMs about services, availability, pricing and insurance, and convert inquiries into booked appointments.
- Rebook patients at check-out according to their plan of care, and follow up with patients who have not rebooked.
- Process payments, collect intake forms, keep patient files accurate, and handle patient information with strict confidentiality (PHIPA).
- Coordinate day-to-day with practitioners on room changes, running late, supply needs and schedule adjustments.
- Keep reception and treatment areas tidy, stocked and presentable, and open or close the clinic on your shifts.
What you need (must-haves)
- Hands-on experience shooting and editing short-form vertical video on a phone. You should be comfortable with CapCut or a similar editor, and understand hooks, pacing, captions and trending audio.
- Proof that you have grown a social media account, whether your own, a client's or a previous employer's. We will ask for the handle and the numbers.
- At least one year of customer-facing experience (clinic, salon, gym, retail, hospitality or similar). Clinic or health-care reception experience is a strong plus.
- Confident and proactive with people. You are comfortable approaching practitioners, asking for their time and directing them on camera.
- Excellent spoken and written English; a warm, professional phone manner and clean, error-free writing.
- Organized and reliable: you can juggle a ringing phone, a patient at the desk and a filming schedule without dropping anything.
- Able to work in person at both our Scarborough (Sheppard Ave E & McCowan area) and North York (Sheppard Ave E & Don Mills area) locations, including at least one weekday evening and Saturday shifts as needed.
- Legally eligible to work in Canada.
Nice to have
- Experience with Jane App or another clinic booking system, and with direct insurance billing.
- Experience with Canva, Buffer or another scheduler, ManyChat, and Meta Business Suite.
- Knowledge of, or a real interest in, massage therapy, chiropractic, physiotherapy or holistic health.
- Photography, graphic design or a diploma in media, marketing or communications.
Who thrives here

You take feedback well, iterate fast and get a kick out of watching a reel take off. You are patient with people who are nervous on camera and cheerful with patients who are in pain. And you notice things, like the empty 3 pm slot that could be filled with a quick call, or the practitioner who would be great on video if someone just asked.
Pay, hours and growth
- $20.00 per hour, 30–35 hours per week, with a 90-day review.
- Schedule set two weeks in advance, split across both clinics. Expect a mix of day shifts, one or two evenings, and some Saturdays.
- Direct mentorship from our Marketing Manager on paid ads, email/SMS campaigns, analytics and campaign strategy. Strong performers grow into a Content & Marketing Coordinator role with expanded responsibilities and pay.
- Content credit: your work is your portfolio, and we are happy to say so publicly.
