Position Summary
Fortress Technology is seeking an organized, creative and highly adaptable Marketing & Sales Coordinator to provide day-to-day support across both the Marketing and Sales functions.
This is a junior-to-intermediate level cross-functional role that combines general marketing coordination, content support, trade show and event administration, and sales administrative support.
The successful candidate will assist the Marketing team with content development, social media, marketing materials, campaigns, trade shows and other day-to-day initiatives, while also providing administrative support to the Sales team, including order preparation, customer documentation, SAP administration, rental and demo equipment coordination, and customer follow-up.
This position is primarily on-site at our Toronto office. The successful candidate will be expected to work fully on-site during the initial onboarding and training period. Following successful onboarding, there may be an opportunity for a limited hybrid work arrangement of up to one remote workday per week, subject to departmental requirements, business needs and management approval.
This role is ideal for someone who enjoys variety, is highly organized, communicates well, and is comfortable moving between creative marketing activities and detailed administrative responsibilities.
The Marketing & Sales Coordinator will work closely with the Marketing Manager, National Sales Manager, Marketing and Sales team and other departments across the organization.
Key Responsibilities:
Marketing Coordination & Support
- Provide day-to-day administrative and coordination support to the Marketing Manager and Marketing team.
- Assist with the execution of marketing campaigns, promotions and departmental initiatives.
- Support the creation, editing and coordination of marketing content for digital and traditional channels.
- Assist with social media content planning, scheduling and posting across company platforms.
- Help prepare basic graphics, presentations, promotional materials, product information and other marketing collateral using approved templates and brand guidelines.
- Coordinate marketing materials and information with internal stakeholders.
- Assist with email marketing campaigns, customer communications and lead-generation activities.
- Support updates to website content, product information, images and other materials as required.
- Assist with gathering information, images and content from internal subject-matter experts.
- Maintain organized marketing files, photography, digital assets, templates and promotional materials.
- Support basic marketing reporting, data collection and campaign tracking.
- Assist with HubSpot CRM contact maintenance, lead information and marketing lists as required.
- Conduct basic competitor, industry and market research.
- Support the Digital Marketing Specialist and Marketing Manager with larger digital marketing, website, SEO and content initiatives as required.
- Ensure marketing materials and communications remain consistent with Fortress brand standards.
Trade Shows, Events & Exhibitions
- Coordinate administrative and logistical activities associated with company trade shows, exhibitions, conferences and customer events.
- Maintain the annual trade show and event calendar.
- Coordinate exhibitor registrations, contracts, deadlines and required documentation.
- Arrange booth requirements, furnishings, electrical services, internet, shipping and other show services.
- Coordinate the shipment and return of equipment, displays, promotional materials and marketing collateral for trade shows.
- Assist with hotel, travel and other event-related arrangements as required.
- Coordinate badges, registrations and attendee information for Fortress employees participating in events.
- Maintain trade show checklists, schedules, contact information and supporting documentation.
- Coordinate marketing materials, giveaways, signage and promotional items for events.
- Work with Sales, Service, Production, Shipping and other departments to ensure equipment and materials are prepared and delivered on schedule.
- Track trade show expenses, invoices and supporting documentation.
- Assist with post-event activities, including lead collection, data organization, follow-up coordination and reporting.
- Maintain inventory of trade show materials, displays, banners, promotional items and supplies.
- Support other company meetings, customer events and marketing activities as required.
Sales Administration & Customer Support
- Provide administrative support to the Sales team and assist with customer follow-up activities.
- Collect and organize the information required to prepare new orders for the daily order meeting.
- Assist with running order review meetings and monitoring shipping schedules to help ensure alignment across departments.
- Manage customer drawings, including DocuSign distribution, follow-ups, approvals and communication of shipping date updates.
- Enter Sales Orders in SAP and issue deposit invoices to customers.
- Support the administration and tracking of equipment across Rentals, Trial/Loaner, Chicago Stock and Demo warehouses.
- Prepare and maintain rental agreements and NDA documentation.
- Follow up with customers regarding required documentation, approvals and outstanding information.
- Answer inbound sales-related telephone calls and direct inquiries to the appropriate team member.
- Monitor and respond to internal and external emails through both an individual inbox and the Order Desk inbox.
- Maintain Business Partner information in SAP and ensure records are complete and accurate.
- File and maintain historical sales orders and related customer documentation.
- Assist with sales documentation, records, reports and general administrative requirements.
- Provide administrative coverage for Sales team members when required.
- Provide front desk relief when requested.
- Assist with other Sales and Marketing administrative responsibilities based on business needs.
Collaboration
- Work closely with the Marketing Manager and National Sales Manager on day-to-day marketing priorities and projects.
- Support the Marketing team with content, website, campaign and digital marketing activities as required.
- Work collaboratively with Sales representatives to coordinate customer documentation, order information and follow-up activities.
- Coordinate with Production, Shipping, Service, Finance and other internal teams regarding customer orders, trade shows and departmental requirements.
- Communicate professionally with customers, vendors, agencies and other external partners.
- Provide flexible cross-functional support during busy periods, employee absences and major trade shows or events.
Qualifications
- Post-secondary education in Marketing, Communications, Business Administration, Business, Sales, Event Management or a related discipline.
- Approximately 1–3 years of experience in marketing coordination, sales administration, customer service, business administration or a related role.
- Previous experience supporting both Marketing and Sales functions is an asset.
- Experience coordinating trade shows, events or exhibitions is strongly preferred.
- Strong written and verbal communication skills.
- Comfortable creating and editing basic business and marketing content.
- Strong working knowledge of Microsoft Office, including Outlook, Word, Excel and PowerPoint.
- Experience with Canva, Adobe Creative Suite or similar design/content tools is an asset.
- Experience with CRM systems such as HubSpot is an asset.
- Experience with SAP or another ERP/order-management system is an asset.
- Experience with DocuSign or similar electronic document platforms is an asset.
- Familiarity with social media platforms and basic digital marketing principles is an asset.
- Experience in a manufacturing, B2B or technical business environment is an asset.
