As a Medical Office Assistant, you will be one of the first points of contact for our clients, helping ensure a smooth and positive experience while supporting daily clinic operations.
- Welcome clients warmly and create a positive first impression
- Schedule, confirm, and manage appointments efficiently
- Answer phone calls, emails, and client inquiries professionally
- Maintain accurate client records and update patient files as needed
- Assist with intake forms, consent documentation, and administrative paperwork
- Process payments and maintain accurate billing records
- Coordinate with estheticians and clinic staff to ensure smooth daily operations
- Maintain a clean, organized, and professional reception/office area
- Help manage clinic supplies and administrative inventory
- Ensure confidentiality and professionalism in handling sensitive client information
- Previous experience as a Medical Office Assistant, Receptionist, Clinic Administrator, or similar role is an asset
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Comfortable using booking systems, Microsoft Office, and basic computer software
- Ability to remain calm and professional in a busy environment
- Strong attention to detail and a client-first mindset
- Experience in a medical clinic, dermatology office, wellness clinic, or spa setting is considered an advantage
