The Role
We are looking for an administrative rock star: someone highly organized, proactive, fast, discreet and comfortable keeping a busy creative business running smoothly.
This is an ideal role for someone who loves administration, enjoys being close to the creative process and wants a practical, behind-the-scenes view of how television and film projects are developed, financed, produced and sold.
The right person will be excellent at managing details, calendars, documents, research, expenses and follow-through. They will be comfortable working in Google Workspace, doing online research, handling light bookkeeping/data entry and supporting the Head of Development across a varied slate of projects.
A strong interest in story, writing, scripted television, or producing is a major plus, but the core of this job is administrative support. The person who succeeds here will take pride in making things easier, cleaner, faster, and better organized.
Key Responsibilities
Executive & Administrative Support
- Manage scheduling, calendar coordination, meeting booking, and follow-ups.
- Conduct deep online research of various subject matter including trends, contacts, news.
- Draft, organize, and manage email responses as needed.
- Maintain organized files, documents, trackers, contact lists, and project materials.
- Prepare agendas, notes, summaries, and action-item lists.
- Ensure tasks are followed through promptly and professionally.
- Respond to communications in a timely manner, with a high standard of accuracy and discretion.
Google Workspace & Digital Organization
- Use Google Docs, Sheets, Drive, Gmail and Calendar confidently.
- Create and maintain spreadsheets, trackers, project folders, and shared documents.
- Keep digital materials clean, findable and up to date.
- Support basic workflow systems for development, production, sales, and administration.
Research & Development Support
- Conduct online research on talent, broadcasters, streamers, production companies, markets, competitors, grants, and industry trends.
- Support development projects through research, notes and materials preparation.
- Read scripts, treatments, or pitch materials and provide concise written notes where appropriate.
- Assist with story-related research, comparable titles, audience positioning, and background materials.
Light Bookkeeping & Expense Tracking
- Track expenses, receipts, invoices, and basic budget information.
- Support accounts receivable and accounts payable data entry.
- Maintain simple financial trackers and help reconcile project-related costs.
- No formal bookkeeping designation is required, but comfort with numbers, spreadsheets, and accuracy is essential.
Production Support
- Assist with production coordination tasks as required.
- Support logistics, call sheets, vendor coordination, travel, schedules, and crew-facing communication when needed.
- Provide general support on active productions, development projects, and company operations.
General Support
- Handle additional administrative, creative, and operational tasks as assigned.
- Help create order around fast-moving projects.
- Anticipate needs before being asked.
- Bring a calm, solutions-oriented attitude to a busy creative environment.
