Job Overview

We are seeking a dynamic and detail-oriented Bilingual Administrative Assistant to join our team! In this vital role, you will serve as the first point of contact for clients, visitors, and team members, providing exceptional customer support and ensuring smooth office operations. Your bilingual skills will enable effective communication with diverse populations, supporting our mission to deliver outstanding service. Responsibilities

Greet visitors and answer multi-line phone systems with professionalism and courtesy, providing excellent customer service in both languages
Manage front desk duties, including scheduling appointments, handling inquiries, and directing calls efficiently
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks to maintain up-to-date records
Organize and file documents systematically, ensuring easy retrieval and compliance with record-keeping standards
Assist with billing, invoicing, and bookkeeping activities to support financial processes
Support medical or dental office operations by managing patient records, appointment scheduling, and verifying insurance information
Proofread correspondence and documents for accuracy, clarity, and professionalism

Experience

Proven clerical or administrative experience in an office environment, ideally within a medical or dental setting
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Docs), and QuickBooks
Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting
Experience handling multi-line phone systems with professional phone etiquette
Demonstrated customer service skills with a friendly and approachable demeanor
Bilingual fluency in English and Spanish (or other relevant languages) is required to facilitate communication across diverse populations
Familiarity with office equipment such as fax machines, scanners, filing systems, and front desk technology
