Wedding Coordinator Assistant, Contract Position

Position Overview

With Love Events is seeking a Wedding Coordinator Assistant for peak wedding season, August through November 2026. Work alongside an experienced planner supporting a full calendar of weddings across Southern Ontario, from the GTA to Muskoka and beyond. This role offers a comprehensive view of the business, combining live event execution with behind the scenes coordination. Compensation includes guaranteed weekly hours plus event pay, with the opportunity to move into an ongoing role beyond the contract for the right candidate.

Compensation

Guaranteed hours: 10 to 12 hours per week, paid regardless of weekly event volume
Event pay: $25 to $30 per hour for rehearsals and wedding days, based on experience
Mileage reimbursement at the CRA rate for events outside the GTA
Completion bonus for candidates who see the full contract through to November
First consideration for ongoing work once peak season concludes

Schedule and Requirements

Term: August 1 to November 30, 2026
Availability required for weekends and evenings, including 8 to 12 hour event days
Location: Ontario based, with willingness to travel throughout Southern Ontario
Valid driver's license and reliable personal vehicle required, this is essential to the role

Core Competencies

Exceptional attention to detail and time management
Professional communication with vendors, venue staff, and clients
Problem solving under pressure in fast paced environments
Physical stamina, including standing for extended periods and light lifting up to 25 lbs
Self starter mentality with timely, proactive communication
Cultural competency and an inclusive mindset, welcoming of all couples, including LGBTQ+ celebrations

Required Qualifications

Two professional references
Event, hospitality, or customer service experience

Preferred Qualifications (Assets)

WPIC certification
Knowledge of Southern Ontario wedding venues
Content creation skills, including photography, videography, and social media

Key Responsibilities

Ceremony and reception setup per design plans
Conduct wedding rehearsals independently
Coordinate vendor arrivals and timeline execution
Manage décor placement and guest coordination
Support teardown and venue walkthrough
Maintain professional vendor relationships
Administrative support and behind the scenes coordination during non event weeks
