Full-Time Medical Aesthetics Receptionist

Downtown Vancouver, BC | Full-Time

About the Clinic

We are a modern, patient-focused medical aesthetics clinic located in downtown Vancouver. We are committed to providing exceptional, personalized care in a warm, professional and welcoming environment.

We are looking for an experienced Medical Receptionist / Client Experience Coordinator to join our team full-time. This is an important front-of-house position for someone who genuinely enjoys working with people, takes pride in creating an exceptional client experience, and is able to confidently manage the day-to-day operations of a busy aesthetics clinic.

The Role

As the first and last point of contact for our patients, you will play a key role in creating a welcoming and polished experience from the moment a client contacts the clinic through to their departure.

The ideal candidate is warm, personable, professional, organized and self-directed, with excellent attention to detail and the ability to anticipate what needs to be done without always being asked.

You should be comfortable working independently, managing competing priorities and maintaining a calm, positive presence in a busy clinical environment.

Key Responsibilities

Client Experience

Welcome every client warmly and professionally.
Create a friendly, polished and personalized patient experience.
Answer phones, emails and client inquiries promptly and professionally.
Build positive relationships with new and returning clients.
Provide information about treatments, services and clinic policies.
Assist clients with treatment planning appointments and consultations.
Follow up with clients when appropriate to encourage continuity of care.

Reception & Administration

Manage daily appointments, bookings, cancellations and rescheduling.
Check patients in and out efficiently.
Process payments and maintain accurate client records.
Manage the clinic schedule and communicate effectively with practitioners.
Maintain accurate documentation and confidentiality.
Handle incoming calls, emails and other client communications.
Assist with administrative tasks and general clinic organization.

Clinic Operations

Ensure the reception and client areas are clean, organized and welcoming.
Monitor supplies and communicate when inventory needs to be replenished.
Help ensure the clinic runs smoothly throughout the day.
Prepare treatment rooms and reception areas as required.
Support the clinical team with day-to-day operational needs.
Identify tasks that need to be completed and take initiative without waiting to be asked.

Sales & Client Retention

Confidently communicate the clinic's services and treatment options.
Help clients understand their treatment journey and next steps.
Encourage appropriate rebooking and follow-up appointments.
Support clinic promotions and special events.
Contribute to achieving clinic booking and revenue goals while maintaining a patient-first approach.

Experience

Previous experience in medical aesthetics, a medical clinic, dermatology, dentistry, plastic surgery, wellness or a luxury service environment would be an asset.

Experience with Jane App is strongly preferred, although training can be provided for the right candidate.
