Practice Manager – Oculoplastic & Cosmetic Surgery
Salary: $80,000–$90,000 per year, plus performance bonus

Lead the Operations and Growth of a Respected Physician-Led Practice
Join a highly respected oculoplastic surgery practice specializing in reconstructive eyelid surgery, orbital and lacrimal surgery, cosmetic blepharoplasty, and facial rejuvenation.
We are seeking an experienced Practice Manager to lead clinic operations, strengthen systems and patient service, develop a high-performing team, and help grow our cosmetic and private-pay services.
Reporting directly to Dr. Femida Kherani, you will serve as a trusted operational and business partner. Approximately 70% of the role will focus on medical and surgical operations, with approximately 30% focused on cosmetic practice development and growth.
This is a senior leadership opportunity for someone who enjoys improving established practices—not simply maintaining them. You will have the opportunity to influence decisions, recommend improvements and take ownership of implementing them.
What You’ll Do
Medical and Surgical Operations
- Lead the day-to-day operations of a busy specialty medical and surgical practice.
- Oversee clinic flow, physician schedules, staffing and efficient use of clinic resources.
- Coordinate hospital operating room bookings, surgical scheduling, waitlists and procedural logistics.
- Support the scheduling, onboarding and integration of associate and locum physicians.
- Oversee MSP and third-party billing processes, reconciliations and related financial administration.
- Ensure compliance with College requirements, privacy legislation, accreditation standards and clinic policies.
- Improve workflows, systems and administrative processes to reduce bottlenecks and support exceptional patient care.
- Identify and implement opportunities to improve productivity, communication and physician and staff effectiveness.
Team Leadership and Accountability
- Lead, coach and develop administrative and clinical support staff.
- Establish clear responsibilities, performance expectations and standards of patient service.
- Conduct regular coaching conversations and performance reviews.
- Build a culture of professionalism, accountability, teamwork and continuous improvement.
- Oversee recruitment, onboarding, staff scheduling, payroll coordination and workforce planning.
- Address performance and workplace issues promptly, fairly and constructively.
Cosmetic Practice Growth and Patient Experience
- Help develop and execute strategies to grow cosmetic surgery and other private-pay services.
- Optimize the cosmetic patient journey from initial inquiry through consultation, procedure and long-term follow-up.
- Monitor inquiries, consultations, conversion rates, patient retention and patient satisfaction.
- Identify opportunities to improve consultation conversion, referral development and patient education.
- Strengthen collaboration and referral pathways with Heights Laser Centre and other healthcare providers.
- Coordinate with external marketing partners on patient acquisition, digital marketing, community outreach and practice awareness.
- Recommend new services and growth initiatives based on patient demand, practice capabilities and business potential.
- Continuously improve the patient experience across both medical and cosmetic services.
Financial and Business Performance
- Develop and monitor key performance indicators for operations, patient experience and practice growth.
- Track financial and operational performance, identify trends and recommend corrective action.
- Support budgeting, expense management, inventory oversight and vendor management.
- Prepare concise performance reports and business recommendations for Dr. Kherani.
- Lead improvement initiatives that enhance efficiency, profitability and long-term practice sustainability.

Qualifications
- At least three years of progressive leadership experience in a specialty medical, surgical, dental or comparable regulated healthcare practice.
- Experience leading clinic operations, teams, schedules and patient-service workflows.
- Demonstrated ability to coach employees, manage performance and build accountability.
- Experience improving operational systems, workflows or patient experience.
- Strong financial and business skills, including budgeting, KPI reporting, expense management and performance analysis.
- Experience working with EMR and practice-management systems.
- Proficiency with Microsoft Office, particularly Excel, Word and Outlook.
- Excellent communication, organizational, problem-solving and relationship-building skills.
- High degree of professionalism, discretion, integrity and sound judgment.
- Bachelor’s degree in business administration, healthcare management or a related field—or an equivalent combination of education and leadership experience.
Preferred Experience
The following experience would be an asset but is not required:
- Ophthalmology, oculoplastics, plastic surgery, facial plastic surgery or cosmetic dermatology.
- Surgical scheduling, hospital operating room coordination or medical billing.
- MSP billing and publicly funded healthcare administration.
- Cosmetic surgery, medical aesthetics or other private-pay healthcare services.
- Practice growth, consultation conversion, marketing coordination or referral development.
