What This Role Is All About
The Senior Retail Property Manager leads the operational and financial management of Chard’s retail portfolio across stabilized and newly delivered mixed-use properties. The role is accountable for tenant relationships, property operations, lease administration, lease renewals, CAM budgeting and recoveries, financial performance, vendor and capital management, renewals, key dates, risk management, and portfolio reporting. Acting within approved policies, budgets, and delegated authority, the Senior Retail Property Manager resolves day-to-day matters, recommends action on material issues, coordinates cross-functional execution, and supports tenant retention, NOI growth, and long-term asset value.
Decision-Making Authority
· Resolve day-to-day tenant and property matters within approved budgets, policies, lease requirements, and delegated authority.
· Approve routine operating expenditures, vendor work, and service providers within established thresholds and procurement requirements.
· Recommend action on material tenant, lease, legal, insurance, capital, financial, or reputational matters, supported by clear analysis.
· Escalate matters outside delegated authority and implement approved retail operating, leasing, and capital strategies.
· Manage lease extensions and renewals
What You’ll Be Doing
Tenant Relations and Retail Operations
· Serve as the primary operational contact for retail tenants following execution of an offer to lease or lease.
· Manage tenant communications, maintenance and service matters, access, signage, loading, parking, waste, security, common-area use, and lease compliance.
· Coordinate shared retail and residential operations, systems, contracts, access, life safety requirements, and cost allocations.
· Conduct regular inspections, address deficiencies and service issues, and identify opportunities to improve tenant experience and property performance.
· Balance responsive tenant service with lease rights, operating standards, ownership objectives, and asset value.
· Support integrated placemaking and retail activation, storefront presentation, customer access, and experience improvements that align with approved property and brand strategies.
Development Handover and Tenant Onboarding
· Support the transition of new retail assets from development through tenant possession , fixturing and onboarding, and stabilized operations.
· Coordinate operational requirements with Development, Construction, Leasing, Legal, Accounting, and Property Management.
· Manage possession and turnover activities, including lease abstracts, notices, insurance, utilities, access, security, deficiencies, and key milestone dates.
· Coordinate the transfer of warranties, permits, commissioning records, maintenance information, as-built documentation, and operating procedures.
· Apply practical knowledge of CRU conditions, landlord and tenant work, possession requirements, utility needs, and operating constraints.
Financial Management and CAM Recoveries
· Lead annual retail operating and CAM budgets for stabilized assets and assets under development, forecasts, variance analysis, and corrective recommendations.
· Monitor retail NOI, income, recoveries, expenses, arrears, and forecast performance.
· Lead operational inputs for CAM billing and year-end reconciliations in accordance with lease requirements, including allocations, gross-ups, management fees, caps, exclusions, and tenant-specific provisions.
· Review invoices, coding, accruals, expense treatment, and supporting documentation for accuracy, budget alignment, and recoverability.
· Track rent steps, additional rent, tenant credits, deposits, letters of credit, inducements, and landlord obligations.
· Provide financial analysis and recommendations supporting tenant requests, capital investments, lease amendments, and renewal decisions.
Renewals, Lease Administration and Leasing Support
· Maintain accurate lease information and key-date tracking, including expiries, renewals, notice dates, rent steps, operating cost provisions, permitted uses, exclusivities, signage rights, security instruments, and material obligations.
· Coordinate lease abstracts and communicate relevant obligations to internal stakeholders.
· Apply lease provisions operationally and coordinate legal review where interpretation is material, unclear, or disputed.
· Monitor tenant insurance, licenses, permits, deposits, letters of credit, and compliance documentation.
· Support new leasing and renewals by providing tenant history, financial and operating information, premises condition, risk analysis, and execution requirements . Develop and manage renewal strategies and execution.
· Recommend actions related to tenant retention, renewals, occupancy risk, operating investments, and readiness for execution.
· Lead the lease renewal process with tenants.
Vendor, Contract and Capital Management
· Procure and manage retail service providers and shared-service arrangements in accordance with budgets, procurement requirements, and delegated authority.
· Develop scopes of work, obtain and evaluate quotations, coordinate contract execution, and monitor service levels, pricing, insurance, safety, and compliance.
· Identify repair, lifecycle, and capital requirements and contribute to annual and multi-year capital planning.
· Coordinate approved projects, including scope, budget, schedule, tenant communication, disruption planning, and close-out.
· Evaluate initiatives based on cost, recoverability, tenant impact, service improvement, risk reduction, and asset value.
Reporting, Risk and Cross-Functional Leadership
· Own monthly retail reporting covering financial performance, CAM status, arrears, occupancy, lease expiries, renewals, maintenance, capital projects, tenant matters, risks, and decisions required.
· Provide concise recommendations on operating improvements, recoveries, expense controls, tenant retention, risk mitigation, and capital priorities.
· Act as the central operational link among retail tenants and internal Property Management, Development, Accounting, Legal, Asset Management, Finance, Leasing, Marketing, and Brand teams.
· Escalate material financial, legal, safety, insurance, tenant, reputational, or asset risks with clear analysis and recommended action.
· Maintain accurate records, reporting tools, procedures, and controls that support accountability and auditability.
· Develop scalable operating practices for future developments, acquisitions, and portfolio growth.
What You’ll Bring
· Five or more years of progressive retail, commercial, or mixed-use property management experience, including responsibility for tenant relationships, property operations, and financial performance.
· Demonstrated experience with operating and CAM budgets, forecasts, variance reporting, recoveries, and year-end reconciliations.
· Strong working knowledge of commercial lease administration, including operating cost provisions, key dates, rent steps, insurance, security instruments, and landlord and tenant obligations.
· Experience managing vendors, service contracts, procurement, preventative maintenance, operating expenditures, and capital projects.
· Ability to interpret financial, lease, and operating information, identify risks and opportunities, and present practical recommendations.
· Strong organizational and communication skills, with the ability to manage multiple properties, tenants, priorities, and deadlines.
· Experience with mixed-use developments, development handovers, CRU delivery, tenant improvements, possession, or stabilization is an asset.
· Familiarity with asset management principles, NOI optimization, capital planning, Yardi, Power BI, or comparable platforms is an asset.
· A valid property management licence, trading services licence, or related real estate licensing is considered an asset.

The salary range for this role is $115,000 - $135,000 plus bonus. Compensation for this role will be commensurate with experience, skills, and qualifications. We're happy to discuss salary expectations during the interview process.
