MAINTENANCE MANAGER
JOB SUMMARY:
This role blends day to day operational oversight of the housekeeping and maintenance departments with strategic leadership to support a safe, efficient and compliant operation of Kopernik Lodge. Included are the responsibility and oversight of mechanical, ventilation, plumbing, heating, air conditioning, fire safety and suppression and electrical systems while also providing direct supervision to maintenance and housekeeping staff. This role ensures compliance with applicable regulations both municipal, provincial and federal to ensure the facility operates optimally and provides a comfortable environment to residents and staff. As a member of the Management Team, participates in strategic planning, policy development, budgeting, cost control, labor relations, and facility programs.
KEY RESPONSIBILITIES AND ACCOUNTABILITIES:
Leadership and Team Management
- Recruits, orientates, supervises, evaluates, disciplines and participates in termination decisions related to housekeeping and maintenance staff.
- Establishes and maintains effective employee/employer relations and appropriately applies relevant collective agreement provisions and facility policies and procedures.
- Establishes and reviews work routines, supervising for compliance and quality of work.
- Performs routine audits on quality of work; utilizing results as an opportunity for service improvement.
- Identifies staff training needs and arranges for in-services as required.
- Produces bi-weekly work schedules for staff; updating changes in Comvida.
- Arranges for replacement staff in accordance with collective agreement provisions, including after hours as required.
- Maintains the master rotations for the departments.
- Develops, implements and maintains departmental policies and procedures related to housekeeping and maintenance.
- Fosters a collaborative, accountable and service-oriented team environment.
Facilities and Technical Oversight
- Responds to urgent operational issues as required, including after hours if necessary.
- Oversees all building systems including HVAC, electrical, plumbing, fire safety, elevator, camera system and mechanical systems. Also supports Nursing Department equipment such as Nurse Call, phones and wandergard system.
- Conducts regular inspections and proactively addresses maintenance issues and risks
Maintenance and Operations
- Develops and maintains preventative maintenance programs and documentation for systems and building equipment (including in other departments such as mechanical lifts)
- Maintains and updates emergency contact systems and lists.
- Ensures building, equipment and grounds are properly maintained and safe.
- Supports hands on maintenance activities where required and appropriate.
- Ensures departmental staff have appropriate equipment to carry out tasks.
- Organizes and maintains master key system.
Financial and Contract Management
- Manage departmental operating budget and monitor expenditures, identifying variances and taking measures to maintain costs and source alternative resources as available.
- Prepare scope of work, obtain quotes, and oversee procurement of service contracts (under the supervision of the Administrator).
- Manage contractor relationships and ensure compliance with service agreements, insurance and WorksafeBC requirements.
- Arranges for the purchase of departmental supplies from established suppliers.
- Maintains department records, inventory and usage information.
Projects and Capital Planning
- Supports Administrator in coordination renovations and maintenance work with contractors and inspectors by obtaining quotes for specific services and acquiring relevant documentation, reports etc.
- Maintains asset inventories and advises on life-cycle replacement needs.
Compliance and Safety
- Ensure compliance with applicable codes, regulations and WorksafeBC requirements.
- Monitor and ensure compliance is maintained with relevant operating permits for building systems and operations such as boiler permit, backflow permit etc.
- Ensure housekeeping department maintain expected standard of cleanliness throughout building in line with infection prevention and control standards.
Other
- Participates in essential services process for the organization including determining essential service levels in housekeeping and maintenance departments and carrying out essential services duties as agreed upon in the essential service plans in the event of job action.
- Acts as Deputy Fire Safety Director, conducting monthly fire drills with staff and orienting new hires to the fire safety system as required.
- Attends educational opportunities relevant to areas of practice.
- Acts as relief Support Services Manager.
- Performs other duties as required.
- Provides support for Kopernik Apartments as required.
Qualifications
Education and Experience:
- Grade 12, plus post-secondary education in a trade or facility maintenance and management and/or building operations and services.
- Three to five years in progressive supervisory and/or management capacity within a Maintenance or Environmental Services role or an equivalent combination of post-secondary education, training and experience.
- Experience in a unionized setting, including overseeing trades is an asset.
- Experience in budgeting, vendor management and contract oversight.
