Our Story: The Terry Fox Humanitarian Award Program was established in 1982 in honour of Terry Fox, one of Canada’s most beloved heroes. In his lifetime, Terry captured the hearts of Canadians across the expansive country. To this day, he is widely recognized all over the world for his extraordinary sense of purpose and the ideals of courage, determination, and altruism. The Terry Fox Humanitarian Award Program was created to commemorate Terry’s remarkable life and his contributions to cancer research and awareness. Through Sports Canada and Canadian Heritage, the Government of Canada generously laid the foundation for our scholarships through two endowments of $5 million in 1982, and another $10 million in 2006. The endowments are an investment in Canadians, inspiring young humanitarians to seek the high ideals that Terry Fox exemplified.

Job Description:
Overview: The Terry Fox Humanitarian Award Program is seeking a dynamic and experienced Executive Assistant to provide high-level administrative support to the CEO to ensure efficient operation of the executive office. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. This role requires a proactive individual who can anticipate the needs of the CEO and work independently to manage various tasks and projects, and includes some need for travel. The ability to act with tact, diplomacy, humility, and integrity should come naturally.
Key Responsibilities:
- Act as the primary point of contact between the CEO and internal/external stakeholders including politicians and government representatives.
- Manage and maintain the CEO’s calendar, including scheduling appointments, meetings, and travel arrangements.
- Assist with special projects and initiatives as directed by the CEO.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Plan logistics and organize meetings and events, including preparing agendas, taking minutes, and following up on action items.
- Conduct research, compile data, and prepare briefing materials for the CEO.
- Handle confidential information with the highest level of discretion and integrity.
- Manage communication and correspondence, including email, phone calls, and mail.
- Maintain a well-organized filing system for both electronic and paper documents.
- Coordinate expenses and financial reporting.
- Assist with planning and executing student and alumni events, and stakeholder gatherings.
- Contribute to the collaborative and multifaceted nature of our organization, assisting the team with various tasks as needed.
- Occasional travel to select meetings/events with key stakeholders (i.e., AGM and Board meeting(s) and major events.
- Support the CEO in personal tasks and errands as required.
Qualifications:
- Bachelor’s degree in Political Science, Business Administration, Management, or a related field preferred.
- Minimum of 3 years of experience as an Executive Assistant, Chief of Staff (or comparable role) - preferably supporting C-level executives, or Senior Officials.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software in an Apple environment.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- High level of professionalism, discretion, and confidentiality.
- Strong problem-solving skills and attention to detail.
- Proactive, resourceful, and able to anticipate the needs of the CEO.
- Experience working with Federal and Provincial Ministers, Members, Officials, and Lobby Canada an asset.
- Bilingual proficiency (oral and written), French-English candidates preferred.
- Access to a personal vehicle and a valid driver’s license will be considered an asset.
Benefits:
- Salary range: $70,000 to $90,000.
- Vacation: Two weeks (prorated).
