Job Description
Sia Immigration Solutions Inc. is hiring a Full-Time Canadian Immigration Case Processing & Client Support Specialist for our immigration practice.
We are specifically looking for someone with real, hands-on Canadian immigration application experience who can contribute from the beginning.
This is NOT an entry-level, fresher, internship, or training position.
Key Responsibilities
- Prepare Canadian immigration applications, forms and supporting documentation.
- Review client documents for completeness and accuracy.
- Prepare document checklists and application packages.
- Follow up with clients regarding missing documents and information.
- Organize and maintain immigration files and case records.
- Assist with online application preparation and filing.
- Monitor application deadlines and file progress.
- Communicate with clients regarding documentation and file-related matters.
- Handle in-person client appointments at the office when required.
- Handle telephone appointments and client calls during working hours.
- Work closely with the immigration team on active applications.
RCIC Supervision
The successful candidate will work under the direction and supervision of an authorized RCIC (Regulated Canadian Immigration Consultant).
The position involves immigration application preparation, case processing and client support. The employee will not independently provide immigration advice or representation unless legally authorized to do so.
Experience Required
Applicants must have previous practical Canadian immigration experience, including experience working directly with immigration applications and supporting documentation.
Simply having studied immigration, completed a course, worked in general administration, or being willing to learn after joining does not meet the experience requirement.
We are looking for someone who already understands the workflow of Canadian immigration files and can work accurately in a professional immigration office.

Responsibilities
- Review and process immigration applications with meticulous attention to detail, ensuring all documentation is complete and accurate
- Conduct thorough research using tools like LexisNexis to verify information and support case decisions
- Draft clear, comprehensive legal correspondence, reports, and client communications related to immigration cases
- Manage case files efficiently using iManage or similar document management systems, maintaining organized records and filing systems
- Assist clients by answering inquiries via phone or email with professional phone etiquette, providing guidance on application procedures and status updates
- Support project management efforts by tracking case progress, deadlines, and follow-up actions to ensure timely processing
- Perform data entry tasks accurately, including updating case statuses and maintaining detailed logs of all client interactions and case activities
Requirements
- Proven clerical experience with strong organizational skills and attention to detail in a fast-paced environment
- Demonstrated experience in proofreading, legal drafting, and research related to immigration or legal processes
- Familiarity with LexisNexis or similar legal research tools is preferred
- Experience with project management techniques to coordinate multiple cases effectively
- Strong writing skills for preparing professional correspondence and reports
- Proficiency in iManage or comparable document management software is advantageous
- Excellent phone etiquette with the ability to communicate clearly and professionally with clients and team members
