What We Offer
We offer a full-time, permanent position with a competitive salary range of $50,000 to $55,000 per year, based on your skills, qualifications, and experience.

The Opportunity
Reporting to the Director, Legacy Giving, the Philanthropy Coordinator supports the effective delivery and sustainability of the Foundation’s key fundraising programs, with a primary focus on Legacy Giving and Annual Giving program support and continuity.
This role provides shared administrative, coordination, and donor engagement support that enables frontline fundraisers to focus on building strong donor relationships. The Philanthropy Coordinator plays an important role in stewarding donors, supporting prospect movement, maintaining data integrity, and ensuing operational continuity.
The ideal candidate is highly organized, relationship focused, and development minded, with a strong interest in growing a career in philanthropy. This role is intentionally designed to provide broad exposure to fundraising programs and donor engagement, building a strong foundation for future growth into Legacy Giving or Major Gifts Fundraising.
Key Areas of Responsibility
Program Coordination & Administration
- Provide administrative and coordination support across the Philanthropy team, with primary responsibilities supporting the Legacy Giving program and additional support for Annual Giving activities
- Assist the Director, Legacy Giving and other fundraising staff with prospect tracking, moves management support and follow up coordination
- Support prospecting initiatives (e.g. donor survey) by preparing donor lists, coordinating mail and email distributions, tracking responses, and facilitating follow-up actions
- Prepare donor lists, mailing files, and reports using Raiser’s Edge and Dataro to support prospecting, cultivation, and stewardship activities
- Assist with the coordination and execution of Annual Giving initiatives by supporting donor mailings, donor correspondence, data entry and campaign support
- Maintain accurate and up-to-date donor records, ensuring date integrity and consistency across programs
- Prepare donor, professional advisor, and community partner correspondence, and coordinate meetings and related materials
Donor & Prospect Engagement
- Serve as a professional and welcoming point of contact for donors seeking information related to legacy and annual giving
- Conduct stewardship outreach including thank-you calls, follow-up communications, tribute acknowledgements, holiday mailings, and event invitations
- Support donor cultivation and stewardship by coordinating meetings, preparing materials, and participating in introductory or stewardship-focused conversations with the Director, Legacy Giving
- Draft personalized donor correspondence, including thank-you letters and follow-up emails
- Support community fundraising and donor engagement events by assisting with coordination and, when appropriate, attending events or representing the Foundation
Professional Advisor Engagement
- Coordinate outreach to professional advisors, including wills and estate lawyers, notaries public, estate planners, financial advisors, and tax advisors
- Arrange meetings and support engagement activities for the fundraising team members
Team Collaboration
- Collaborate with Donor Relations, Marketing and Communications, and Foundation Operations to support integrated donor engagement and stewardship
- Work collaboratively across the Foundation team to ensure consistent, donor-centered communication and data integrity
Knowledge & Learning
- Develop and maintain a working understanding of legacy giving concepts, including bequests, gifts of securities, life insurance, and registered savings plans
- Build foundational knowledge of annual giving, donor stewardship, and the donor lifecycle
- Stay informed about best practices in fundraising, donor engagement and stewardship
- Demonstrate cultural awareness and sensitivity, particularly in engaging Richmond’s diverse communities
- Participate in learning and professional development opportunities to support growth toward future frontline fundraising roles
Qualifications & Experience
- University degree or diploma in business, communications, philanthropy or similar, or equivalent combination of education and experience
- Minimum 2–3 years of experience in fundraising, donor relations, nonprofit administration, or related fields
- Familiarity with legacy giving, annual giving or major gifts is an asset but not required
- Ability to handle confidential and sensitive information with discretion
Skills & Abilities
- Strong relationship-building skills with an authentic, donor-centered approach
- Self-driven, highly organized, with the ability to manage multiple tasks and meet deadlines
- Excellent written and verbal communication skills, including active listening
- Comfort engaging with donors, community partners, and professional advisors in a professional setting
- Proficient in Microsoft Office applications
- Experience working with donor databases; Raiser's Edge experience preferred
- Collaborative team player with the ability to work independently when required
- Fluency in English is required; proficiency in Cantonese and/or Mandarin is an asset
- Willingness to work occasionally in the evenings and weekends when required
- Valid driver’s license and access to a vehicle
