As Brock Solutions continues to grow and respond to the on-going requirements of major clients, we need to add talent to our base of outstanding professionals. We are currently seeking an Administrative Assistant & Travel Coordinator to join our team of experienced professionals based out of our Vancouver, BC office. This role will provide administrative support to the Vancouver office while coordinating travel and related logistics for Brock employees and business globally, with a primary focus on supporting the west coast and Australia teams.
Working Hours: This role requires working hours of 11:00 a.m. – 7:00 p.m. PST to support coordination across our west coast and Australia teams.
What You’ll Do
Provide end-to-end travel coordination and support for Brock employees, while maintaining a particular focus on the west coast and Australia business.
Provide timely and accurate administrative support to the Vancouver office, west coast teams, and our Australia-based employees.
Manage day-to-day office needs for the Vancouver location, including internal meeting support, kitchen/office supplies, employee mobility support, and incoming/outgoing mail and shipping.
Complete the Vancouver Office Inspections Checklist to help maintain a safe and well-organized workspace.
Process Vancouver PPE requests and coordinate new hire kit orders as part of the onboarding experience.
Support the planning and execution of internal and external events as needed.
Provide project administration support as required.
Perform other administrative projects and duties as required.
Leverage AI and digital tools to streamline administrative processes, improve event coordination, automate routine tasks, and identify opportunities to enhance workplace operations.
Qualifications Required:
What You Bring
Proven Office Administration experience
Experience coordinating business travel arrangements preferred
Post-secondary education in Business, Administration, or similar discipline is preferred
Strong interpersonal and communication skills (both verbal and written)
Proficient with the Microsoft Office Suite
Strong organizational & multi-tasking skills with a strong attention to detail
Demonstrated problem-solving and decision-making skills
Ability to work independently with little or no supervision
Mature and sound judgment, results-oriented and able to work under pressure to meet deadlines
Ability to handle sensitive and confidential matters
Comfortable collaborating across time zones
Curiosity and willingness to adopt new technologies and AI tools to improve workplace operations and employee experience.
