Terra Nova Medical is a family practice organization.
We are currently hiring 2 Virtual Administrative Assistants. The ideal candidate for this role is a successful team player with experience multitasking in a dynamic, fast-paced work environment, and has open availability. Responsibilities and Duties
- Deliver the highest level of customer service to patients and providers via phone, email, and secure messaging platforms.
- Receive and make phone calls; respond to patient and provider inquiries in a timely and professional manner.
- Send and receive faxes, emails, and electronic documents; ensure accurate routing and follow-up.
- Schedule, reschedule, and confirm medical appointments, diagnostic tests, and follow-up visits.
- Create, submit, track, and follow up on referrals to specialists, diagnostic facilities, and hospitals.
- Maintain accurate electronic medical records (EMR): update demographics, contact details, and relevant patient information.
- Demonstrate working knowledge of medical terminology to accurately process clinical information and referrals.
- Monitor task lists, results, and outstanding items to support continuity of care and timely follow-up.
- Assist with administrative workflows related to laboratory, imaging, and specialist coordination.
- Support quality-of-care processes by ensuring documentation is complete and communication is clear and timely.
- Encounter billing & correction of Billing Errors in line with the Medical Services Commission’s Payment Schedule.
- MSP Remittance Reconciliation
- Perform a range of clerical and administrative duties to support the clinic’s day-to-day operations.
- Follow organizational policies, clinical workflows, and virtual care protocols.
- Comply with all privacy and confidentiality requirements, including HIPAA and applicable provincial/state regulations.
- Perform other remote administrative and clerical duties as assigned to support efficient clinic operations.
- Qualifications and Skills:
- Completion of Grade 12
- Strong organizational and interpersonal skills.
- Excellent communication skills and a customer service-oriented approach.
- Familiarity with medical terminology and healthcare environment is an asset but not required.
- Proficient in the use of computer programs and medical software.
- Able to multitask and handle pressure during busy periods.
- MOA experience is an asset.
- Familiarity with Juno/Arya EMR is an asset.
- Working knowledge of Microsoft Word and Excel.
- Minimum typing speed of 50 WPM with high accuracy.
- Fluent in spoken and written English

Hours: 40 per week, with a 30-minute unpaid meal break.
