The role of the Office Manager/Executive Assistant is to provide support to the executive team in all aspects of their day-to-day operations. You will work as a trusted partner and liaison, managing critical tasks, facilitating communication, and providing strategic support on multiple projects and initiatives. This role requires a high level of confidentiality and professionalism in the execution of responsibilities.
ESSENTIAL FUNCTIONS
- Act as the first point of contact for the office, overseeing all incoming and outgoing communications, including emails, phone calls, reports and internal correspondence.
- Warmly greet clients and visitors in a professional, friendly manner.
- Filing important documents such as reports, meeting notes, emails and letters.
- Keeping the executives calendar up-to-date, including adding events, scheduling appointments and providing daily briefings.
- Acting as the gatekeeper for internal and external contacts, including vendors, colleagues, clients and customers.
- Conducting research and creating reports on various topics based on the needs of the executive.
- Planning and organizing events that take place externally, such as fundraisers, sporting tournaments, and appreciation events.
- Keeping important information and documents organized physically, and electronically.
- Maintaining a high degree of discretion and confidentiality.
- Handle daily office administrative tasks.
- Participate in organization wide projects that require additional management and support.
- Prepare PowerPoints, agendas and meeting materials as needed.
- Provide assistance to other departments as needed.
- Participate in the execution of special projects and other duties as appropriate and as needed.

ROLE REQUIREMENTS / ABILITIES
Experience / Education
- Degree / Diploma in Business Administration or a related field
- Proven experience as an executive assistant or similar supporting role.
Skills & Abilities
- Excellent verbal and written communication.
- Strong computer proficiency with experience with Microsoft Outlook, Word, Excel, PowerPoint, Google.
- Exceptional organizational skills, with the ability to prioritize tasks and manage competing deadlines effectively.
- Demonstrated discretion and integrity in handling sensitive and confidential information.
- Reliable and punctual, with a consistent in-office presence.
- Ability to multitask and prioritize competing demands, including phones, front-desk responsibilities, and administrative tasks.
- Superior attention to detail.
- Ability to learn construction processes and terminology.
- Highly motivated individual who is a self-starter with an ability to work independently.

Pay: $50,000.00-$65,000.00 per year
