Reporting to the Director of Campus Technology Services, this role provides executive-level administrative support to the Director and the broader IT department, and manages IT purchasing, vendor contracts, and related financial activity for the College. This position coordinates the Director's calendar, meetings, and communications, while also assisting in evaluating vendor proposals, negotiating contract terms, and managing contracts end-to-end, including renewals, performance tracking, and issue resolution. In addition, this position coordinates IT projects across departments and works with staff and leadership across both campuses.

Key Responsibilities

Provide executive administrative support to the Director- manage the calendar, coordinate meetings, prepare agendas, take minutes, arrange travel, and draft communications.

Handle communications on behalf of the Director, follow up on action items, and maintain office files and supplies for IT staff across both campuses.

Coordinate IT projects across departments - maintain timelines, run project meetings, track action items, and align procurement with project plans.

Manage IT vendor contracts from end to end - scoping requirements, obtaining quotes, negotiating terms, drafting agreements, and handling renewals.

Track contract end dates, licence and renewal costs, and engage vendors early to negotiate before deadlines; run quarterly vendor performance reviews.

Handle the lifecycle of IT purchases from requisition to payment and delivery, including returns, asset tracking, and disposal.

Enter, monitor, and adjust purchase requisitions and purchase orders in the Finance System; arrange interdepartmental account transfers.

Prepare budget reports for IT leadership - track spending, flag discrepancies, and recommend reallocations.

Maintain the IT asset inventory database and report on the location and age of assets.

Procure, replace, or discontinue mobile devices and services; maintain the communications device database and process telecom billing.

Explain procurement policies and IT procedures to staff, vendors, and contractors, and keep stakeholders current as processes change.

Job Requirements

Post-secondary diploma or degree in business administration, office administration, or a related field (combination of education and work experience will be considered)

3-5 years of relevant experience providing executive administrative support, ideally within a technology-focused work unit.

Experience managing vendor contracts and procurement activity, drafting, assisting the director and managers with negotiating, and tracking renewals and performance.

Experience with Enterprise Resource Planning systems, including requisitions, receiving, journal entries, and financial reporting.

Proficient in Microsoft 365 applications, with proven experience managing executive calendars and communications.

Strong organizational and communication skills, with proven discretion handling confidential information.

Familiarity with mobile device platforms and telephony is an asset.

This is an AUPE Full-time Permanent position, with a salary range of $51,748 to $65,213/annum. This position is based out of the Vermilion campus. We’ll begin reviewing applications the week of June 29, 2026, and will continue until the position is filled.
