Typical hours of work are 8:30 a.m. to 4:30 p.m., Monday to Friday. However, due to the nature of this position, flexibility is required. Alternate hours and days, including evenings and weekends, may be necessary to meet operational needs such as events and special activities.
- Under the direction of the Community Engagement and Careers , the Campus Administrator is responsible for supervising daily operations in the [Penticton or Vernon or Salmon Arm] office and coordinates a wide range of administrative functions required by the academic and service departments. The primary goal is to facilitate collaboration amongst all departments to ensure that campus activities – teaching and learning, direct student services, maintenance and administrative operations, and events – are carried out to greatest effectiveness for all campus functions.
- A key responsibility is to ensure the campus operations run effectively and efficiently which requires frequent communication and collaboration with departments (on and off campus) and creating a productive and collaborative team environment with employees who report to different supervisors. Developing strong relationships with Deans, Director and Managers to facilitate the activities at the campus is central to this position.
- This position acts as the Campus’ main point of contact in the Region and collaborates with other college administrators in developing and maintaining community relationships with municipal/regional governments, educational, economic, social services, employer and industry, and Indigenous organizations. The Campus Administrator is involved in community initiatives, identifies local community information and educational needs, acts as a liaison between the community and the College, and represents the Campus at community events.
- The Campus Administrator is responsible for managing all campus events and organizes campus working groups to guide these events. The position facilitates Campus-specific information sharing with administrative staff, faculty, instructors, internal departments, and external agencies, and therefore requires a broad understanding of all departments, educational programs, and operational requirements to coordinate daily campus operations, respond to emergency situations, and triage and problem-solve day-to-day Campus issues.
- The Campus Administrator monitors Campus services and recommends improvements to operational procedures to support effective and efficient services with a focus on continuous improvement and operationalization of College policies and procedures. This position is responsible for the financial management of the assigned operational and project budgets and appropriate handling of campus receivable payments.
- Student Experience
- Ensures complaints, concerns and suggestions from students, employees, and other key stakeholders are addressed expediently, making appropriate referrals to Deans and Directors where required. Responds to concerns from students in a manner that results in a positive learning, living, and work environment.
- Manages non-academic student misconduct incidents as they arise making referrals to Student Service managers as required. Documents appropriately all student mis-conduct incidences.
- Responsible for ensuring the campus office operates as the gateway to the campus, providing the key information, service and referral site for all student and visitor inquiries.
- Coordinates regular meetings for the distribution and sharing of information and updates on campus operations and personnel to be responsive to student and visitor inquiries.
- Responsible for ensuring that students and visitors receive a high-quality of customer service in keeping with the values and goals of the College. This will require regular meetings with campus administrators and managers to collaborate and share information and practices, and to ensure staff receive appropriate training when necessary.
- Responsible for setting and implementing standards of service and tracking and reporting on outcomes. This will require coordination and collaboration with other Campus Administrators
- Responsible for ensuring students and visitors are aware of campus office resources and services and provides information and tours as required.
- Responsible for ensuring internal, operational procedures are relevant to current student needs for services and are implemented effectively by office employees.
- Provide feedback to Deans, Directors and Leadership Council on potential barriers to student success.
- Work closely with the Registrar’s Office and recruitment teams to support applications, admissions and registration policies and procedures.
- Participates as the onsite Manager to coordinate the response to violent and threatening behavior.
- Community Engagement
- Acts as a point of contact for the College with local community groups and organizations and assists other college administrators in identifying appropriate Okanagan College employees who can foster and maintain community relationships with municipal/ regional, educational, economic, and social services, as well as with local employers and industry, and Indigenous communities and organizations.
- Shares local community information and community educational needs through appropriate College communication channels, to inform current and future program development, develop beneficial community relationships, and to assist in identifying new opportunities for community activities and partnerships. Represents the College at community meetings/ events and prepares presentations and activities where appropriate.
- Supports College leaders with the logistics and coordination of regular and ad hoc community engagement groups in the local communities, including public consultation committees and advisory groups.
- Assists Deans and Directors, when requested, on the logistics of delivery of educational programs to meet the needs of the region.
- Employee Management
- Responsible for the recruitment, hiring, training, workload allocations, supervision, development and evaluation of assigned staff and student employees.
- Collaborates with appropriate supervisors to ensure adequate staffing levels.
- Creates and maintains a positive and productive work environment in an open and inclusive setting that supports employee wellness and encourages professional development.
- Develops and fosters a Campus Team with employees who report to other supervisors and supports this team to provide excellence in customer service to students, employees and the general public.
- Identifies and addresses individual, organizational and environmental conditions that foster or inhibit the achievement of service goals and institutional strategic goals.
- Financial Management
- Responsible for managing the (Salomon Arm OR Vernon OR Penticton) Office operating budgets and associated institutional processes.
- Campus Logistics and Event Management
- Assists the Office of the Registrar in auditing room assignment of classes, laboratories and examinations to ensure effective and efficient space utilization.
- Collaborates with Room Assignments personnel to maximize use of non-academic space scheduling to the benefit of student and community organizations.
- Liaises with Campus Security to ensure adequate levels of security are in place for the full range of campus activities.
- Chairs the campus health and safety committee and ensures campus employees are familiar with relevant regulations and safe work practices.
- Responds to after-hours emergency calls and ensures appropriate College personnel and community first-responders are engaged as required.
- Communicates regularly with Planning and Facilities Management to ensure premises are properly cleaned and maintained; to provide input to renovation and furniture replacement schedules and to provide on-site oversite contractors as required.
- Works closely with Ancillary and Business Services to ensure appropriate levels and quality of food services, parking arrangements, security contracts and bookstore services.
- Manages onsite logistics for OC events. These can include: annual awards ceremonies, orientation, recruitment events, convocation/commencement, celebrations, etc. Engages campus employees to be involved in these events and works closely with the Student Association where appropriate.
- Bachelor’s Degree in Business Administration or related field. Seven (7) years related experience, including three (3) years supervisory and office/facility management experience. An equivalent combination of education and/or experience may be considered. Experience in project management and community relations is required.
