Overview

We’re excited to work with our client on the opening of their new practice, Highrock Dental, in September 2026! Located in beautiful Esquimalt, BC, Highrock Dental is a brand-new, thoughtfully designed family dental practice built with both patients and team in mind. Enjoy a fully digital workflow featuring electronic charting, digital radiography, and an intraoral scanner in bright, modern operatories with natural light in every treatment room. They believe a great workplace matters, which is why they have created a spacious staff lounge complete with lockers and a private shower

This is a great opportunity to join the practice and be part of the founding team! We are looking for an experienced Dental Practice Coordinator who demonstrates initiative, professionalism, accountability, and a commitment to continuous improvement while contributing positively to the culture and success of Highrock Dental. The hours will be Monday – Friday, 7:45am – 4:15pm.

Key Responsibilities

Serve as the first point of contact for patients, delivering a warm, professional, and exceptional patient experience in person, by phone, and online.
Manage the daily appointment schedule to maximize efficiency while prioritizing excellent patient care.
Answer incoming calls, respond to emails and online inquiries, and schedule new and existing patient appointments.
Welcome patients, verify demographic and insurance information, and ensure all required forms and documentation are complete.
Coordinate patient flow and communicate effectively with the clinical team to keep appointments running on time.
Prepare and present treatment estimates, discuss financial arrangements, collect payments, and process daily financial transactions.
Submit electronic insurance claims, monitor outstanding claims, verify benefits, and assist patients with insurance-related questions.
Manage accounts receivable, follow up on unpaid balances, and maintain accurate financial records.
Confirm appointments, manage short-notice and cancellation lists, and proactively fill schedule openings.
Coordinate referrals, specialist correspondence, laboratory communication, and other patient-related administrative tasks.
Maintain accurate patient records and ensure all documentation is complete and confidential.
Monitor recall and continuing care systems to support patient retention and practice growth.
Order and maintain administrative office supplies and assist with inventory management.
Open and close the office, ensuring the reception area is organized, welcoming, and fully prepared for each day.
Support practice marketing initiatives by responding to new patient inquiries, encouraging online reviews, and assisting with community outreach activities.
Develop, refine, and improve administrative systems, workflows, checklists, and patient communication processes as part of a growing startup practice.
Collaborate closely with the dentist and clinical team to deliver a seamless, efficient, and patient-centred experience.
Maintain confidentiality and comply with all applicable privacy, regulatory, and office policies.

Key Qualifications

Minimum of 5 years of experience as a dental administrator
At least 1 year of experience in a treatment coordinator, lead administrator, or office manager role an asset
Proven ability to coordinate treatment plans, scheduling, and patient communication with exceptional attention to detail
Strong organizational, problem-solving, and multitasking skills with the ability to work independently
A proactive, solutions-focused mindset and a commitment to delivering outstanding patient experiences
Experience working in a start-up or growing dental practice is considered an asset
Cross-training or experience as a Certified Dental Assistant (CDA) is considered an asset
Experience with ClearDent Practice Management software is considered an asset
Criminal record check required
