Ponterio Developments Inc. is a locally established real estate development and property management company specializing in the ownership, development, construction, and management of our own commercial properties.

As landlords and property owners, we take a hands-on approach to every aspect of our buildings—from new construction and development to ongoing maintenance, tenant relations, leasing, and day-to-day property management. Our integrated approach allows us to maintain high standards across our properties while providing our tenants with professional, responsive service.

We are seeking a motivated and detail-oriented Administrative Assistant/Data Entry Clerk to join our dynamic team. This role is vital in ensuring the smooth operation of daily administrative functions, providing exceptional support to our office staff, and maintaining accurate data records. The ideal candidate will possess strong organizational skills, excellent computer proficiency, and a proactive attitude to handle a variety of clerical tasks efficiently. Responsibilities

Manage data entry tasks with precision using software such as QuickBooks, Microsoft Office, and Jonas to ensure accurate record-keeping. The data entry tasks are specifically related to accounts payable invoices and accounts receivable billings.
Perform general clerical duties including filing, photocopying, scanning, and organizing documents to maintain a well-structured office environment.
Answer multi-line phone systems with professionalism, practicing excellent phone etiquette and providing outstanding customer support.
Assist with front desk responsibilities by greeting visitors, managing appointments, and directing inquiries efficiently.
Proofread correspondence, reports, and documents for accuracy and clarity before distribution.

Skills

Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
Excellent data entry skills with high accuracy and attention to detail.
Prior clerical experience in an office setting, including familiarity with filing systems and document management.
Knowledge of QuickBooks for bookkeeping and financial record management.
Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Demonstrated customer service skills with professional phone etiquette across multi-line phone systems.
Capable of typing quickly while maintaining accuracy; proofreading documents for errors.
Strong computer skills including familiarity with office equipment, email platforms, and basic troubleshooting.
