Résumé du poste :

Dama Construction est à la recherche d’un(e) adjoint(e) au département de service organisé(e), rigoureux(se) et soucieux(se) du détail pour soutenir notre équipe dans les opérations nationales de service et de maintenance. Ce poste combine des responsabilités administratives et comptables ainsi qu’un soutien à la coordination, et requiert d’excellentes aptitudes en communication, une grande capacité à gérer plusieurs tâches simultanément et une approche axée sur le service à la clientèle.

Responsabilités principales

Traiter et organiser les factures des sous-traitants, les dépenses et la documentation de soutien.
Effectuer les suivis auprès des sous-traitants concernant la planification des travaux, leur progression et la facturation.
Participer à la préparation de la facturation et des bons de commande (PO) pour les travaux de service complétés.
Soutenir les activités liées aux comptes recevables et aux comptes payables du département de service.
Assister les coordonnateurs de service dans l’administration quotidienne des bons de travail et les activités de suivi.
Appuyer les confirmations d’horaire et assurer les communications continues entre les sous-traitants et les équipes internes.
Communiquer avec les sous-traitants et le personnel des magasins afin de confirmer la réalisation des travaux et la satisfaction des clients.
Assurer le suivi des bons de travail ouverts et soutenir les coordonnateurs de service afin d’en garantir la réalisation et la fermeture dans les délais requis.
Coordonner et mettre à jour les informations relatives aux sous-traitants, clients et fournisseurs dans la base de données interne.
Rechercher et intégrer de nouveaux sous-traitants, notamment en recueillant les certificats d’assurance, permis et informations corporatives.

Qualifications

1 à 2 ans d’expérience en administration, comptabilité et service à la clientèle.
Excellentes aptitudes en organisation et en gestion du temps.
Excellentes habiletés de communication verbale et écrite en français et en anglais.
Aisance à effectuer des appels de suivi et à gérer plusieurs priorités simultanément.
Maîtrise de Microsoft Outlook, Excel et des applications informatiques courantes.
Une expérience dans les domaines de la construction, de la maintenance, de la gestion d’installations ou de la coordination constitue un atout.
Capacité à travailler dans un environnement dynamique et à faire preuve d’initiative.

Summary

Dama Construction is seeking a highly organized and detail-oriented Service Department Assistant to support our team with national service and maintenance operations. This role combines administrative and accounting responsibilities with coordination support, requiring strong communication skills, multitasking abilities, and a customer-service mindset.

Key Responsibilities

Process and organize subcontractor invoices, expenses, and supporting documentation.
Follow up with subcontractors regarding scheduling, work progress, and invoicing.
Assist with invoicing and billing/PO preparation for completed service work.
Support accounts receivable and accounts payable activities related to service operations.
Support Service Coordinators with daily work order administration and follow-up activities.
Assist with scheduling confirmations and ongoing communication between subcontractors and internal teams.
Contact subcontractors and store personnel to confirm service completion and customer satisfaction.
Monitor open work orders and help Service Coordinators to ensure timely completion and closure.
Coordinate and update subcontractor, client, and vendor information in the internal database.
Research and onboard new subcontractors, including collecting insurance, licensing, and company information.

Qualifications

1–2 years of administrative, accounting and customer service experience.
Strong organizational and time-management skills.
Excellent verbal and written communication skills in French and English.
Comfortable making follow-up calls and managing multiple priorities.
Proficient with Microsoft Outlook, Excel, and general computer applications.
Experience in construction, maintenance, facilities management, or coordination is an asset.
Ability to work in a fast-paced environment and take initiative.
