About Mobility Room
Mobility Room is a growing collaborative Physiotherapy and rehabilitation clinic in Whitby.
Our team includes Physiotherapists, Kinesiologists, Osteopaths, Athletic Therapists, Physiotherapy Assistants, Patient Experience Coordinator, and administrative staff who work together to ensure patients receive the best possible care throughout their entire experience with us.
We believe great healthcare goes beyond what happens in the treatment room. Communication, follow-up, organization, teamwork, and how a patient feels when they walk through the door all matter.
We are looking for a Clinic Manager who wants to help us continue building that experience as Mobility Room grows.
The Role
The Clinic Manager is responsible for the day-to-day operations of the clinic and ensuring our administrative team, systems, schedules, and patient experience run smoothly.
This is a hands-on leadership position for someone who enjoys solving problems, improving systems, supporting people, and taking ownership.
You will work closely with the Clinic Director, Patient Experience Coordinator, administrative staff, and practitioners to ensure the clinic operates efficiently while maintaining a welcoming and patient-centred environment.
Key Responsibilities
- Oversee daily clinic and front desk operations.
- Supervise and support administrative staff and the Patient Experience Coordinator.
- Monitor practitioner schedules, clinic utilization, cancellations, no-shows, and schedule gaps.
- Ensure patients are appropriately followed up with and pre-booked according to their care plans.
- Oversee billing, accounts receivable, outstanding balances, and insurance administration.
- Ensure administrative tasks, workflows, and clinic procedures are completed consistently.
- Maintain and improve SOPs, systems, onboarding, and administrative workflows.
- Support staff training, accountability, scheduling, and coverage.
- Monitor clinic KPIs and provide regular operational updates to the Clinic Director.
- Handle escalated patient concerns with professionalism and empathy.
- Identify operational problems and build systems to prevent them from happening again.

You must have previous experience using Jane App, TrustDrivenCare, HubSpot, or comparable EMR and CRM systems.
Experience working in a physiotherapy clinic or multidisciplinary rehabilitation environment is strongly preferred.
You should also have experience with:
- Healthcare administration
- Patient scheduling and communication
- Billing and accounts receivable
- Staff coordination or supervision
- Clinic reporting and KPIs
- Patient service and conflict resolution
- Creating or improving administrative systems

Most importantly, the Clinic Manager creates reliable systems that allow the clinic to operate efficiently.
Pay: $25.00-$30.00 per hour
Expected hours: 30.0 – 40.0 per week
