Role Overview
Southwestern Manufacturing Inc. is seeking a detail-oriented Document Controller – Nuclear Projects to support documentation control for nuclear project work. This role is responsible for organizing, tracking, maintaining, and compiling project documentation to ensure records are accurate, complete, controlled, and ready for review, audit, customer submission, and project closeout.
The successful candidate will work closely with Project Management, Quality, Engineering, Production, and Procurement teams to ensure drawings, procedures, inspection records, certifications, quality records, and final documentation packages are properly managed throughout the project lifecycle.
Job Responsibilities
- Maintain and control project documentation, including drawings, procedures, specifications, quality records, forms, certifications, and customer deliverables.
- Ensure documents are reviewed, approved, issued, revision-controlled, securely stored, and available to the appropriate teams.
- Maintain document registers, transmittal logs, revision logs, approval trackers, and documentation status reports.
- Track outstanding documentation requirements and follow up with internal teams to support project timelines and closeout requirements.
- Compile, verify, and maintain complete project documentation packages, including turnover packages, data books, quality records packages, and final customer deliverables.
- Coordinate with Project Management, Quality, Engineering, Production, Procurement, and other departments to collect documentation and resolve missing information.
- Support internal audits, customer reviews, and regulatory documentation requests by providing accurate and complete records.
- Ensure documentation practices support company procedures, customer requirements, nuclear project requirements, and quality management system expectations.
- Recommend improvements to document control processes, filing structures, workflows, and reporting practices.
- Maintain confidentiality of sensitive business, technical, and customer information.
- Provide final, accurate and complete document packages for submission to the customer prior to shipments.
Qualifications & Skills
- Strong knowledge of document control principles, records management, and revision control.
- Experience supporting documentation in nuclear, manufacturing, fabrication, engineering, construction, or another regulated project environment preferred.
- Familiarity with quality records, inspection documentation, material traceability, certifications, data books, turnover packages, and final project documentation deliverables.
- Ability to read and understand customer specifications, project documentation requirements, quality plans, and controlled document procedures.
- Experience using document management systems, ERP systems, electronic filing systems, and Microsoft Office applications.
- Excellent organizational skills with strong attention to detail, accuracy, and follow-through.
- Ability to manage multiple priorities, meet deadlines, and work collaboratively across departments.
- Strong written and verbal communication skills.
Education & Experience
- Diploma or Bachelor's Degree in Business Administration, Office Administration, Engineering Technology, Records Management, or a related field preferred.
- Minimum 3 years of experience in document control, records management, administration, project support, or a related role.
- Experience in a nuclear, manufacturing, engineering, industrial, project-based, or quality-controlled environment is considered an asset.
- Experience supporting turnover packages, data books, quality records packages, or final documentation submissions is preferred.
