Reporting to the Director, Member Services, the Knowledge Management Coordinator will audit internal databases and build and optimize a searchable knowledge base. Acting as a key point of coordination across teams, this role helps streamline documentation, reduce duplication, and enhance access to critical information.

As a Knowledge Management Coordinator at HEB Manitoba, you will establish and maintain structured systems to categorize files, manuals, and records using standardized metadata and keywords. You will also support the design and implementation of SharePoint-based knowledge hub, ensuring information is organized, accessible, and consistent across the organization.
Your responsibilities will include:
- Review, edit, and revise high volumes of policies, procedures, and process documentation to ensure accuracy, clarity, and consistency.
- Analyze existing documentation to identify gaps, duplication, and opportunities for standardization.
- Collaborate with stakeholders to gather input and validate processes and procedural content.
- Design and develop a structured SharePoint site to centralize and improve access to documentation.
- Build site architecture, navigation, and page layouts to support intuitive user experience and efficient information retrieval.
- Establish and apply document formatting and content standards to maintain consistency across all materials.
- Organize and classify procedures, forms, and templates for streamlined access and usability.
- Conduct audits of documentation across multiple platforms (e.g., shared drives, emails, legacy systems) and consolidate into SharePoint.
- Create user guides and provide training to support adoption and ongoing maintenance of the SharePoint site.
- Maintain and update content post-launch to ensure information remains current, accurate, and aligned with business needs.
Qualifications for Your Success:
Experience & Education
- Completion of a post-secondary degree or diploma in Business Administration, Information Technology, Mathematics or related field.
- 1 - 3 years of experience in Knowledge Management or Instructional Design.
- Experience building and maintaining SharePoint sites (Online SharePoint preferred).
- Proven track record in designing and deploying effective knowledge management solutions.
- Understanding of pensions or benefits administration is considered an asset but not required.

Knowledge, Competencies & Skills
- Advanced expertise in Microsoft 365 applications and tools (Word, Excel, SharePoint, Teams, Outlook).
- Excellent written communication skills, including editing and proofreading.
- Strong organizational and analytical skills for structuring and classifying large volumes of information with an eye for detail and accuracy.
- Ability to independently drive initiatives while effectively managing multiple priorities.
- Proven ability to integrate and work well with team members in a collaborative and dynamic environment.
