Full job description

Gardewine is a Manitoba company, with terminals across Canada and a strong history that dates back to the 1950’s. Since being founded in the northern community of Flin Flon we have grown significantly by diversifying within the transportation industry. We are currently seeking a Leased Operator Payables/AP Clerk to join our team at our Winnipeg Head Office.

Position Summary

Reporting to the Payroll Manager, the Leased Operator Payables/AP Clerk is responsible for the accurate and timely preparation of Leased Operator payroll, payables, and related administrative activities. This position requires strong attention to detail, accuracy, organization, and the ability to handle confidential information with discretion. This role requires a background in accounting (or other relevant experience) and will provide support to the accounts payable team, as needed.

The position is primarily scheduled Monday to Friday, 8:00AM to 4:30PM however, hours of work may vary based on business requirements.

Duties and Responsibilities

- Prepare, review, and verify Leased Operator payroll and advances
- Organize and compile Leased Operator statements
- Calculate, prepare and key journal entries; including reversing and accrual
- Assist with preparation and distribution of T4A slips
- Respond to questions via email and phone from Leased Operators in a professional and timely manner
- Complete account reconciliations and investigate discrepancies
- Follow up on critical matters and ensure timely resolution
- Distribute and file income statements and pay stubs
- Gather, review, and verify supporting documentation, including timecards, trip sheets, and other payroll and billing records
- Prepare and distribute reports for management
- Provide support for payroll activities, including data entry, scanning, and month-end processes

- Assist with various accounts payable duties such as coding invoices, preparing cheque runs, responding to phone/email inquiries from vendors, assisting with the month-end close, and other supportive tasks as needed.
- Perform other clerical and administrative duties as assigned

Qualifications and Requirements

- Demonstrated knowledge of general accounting practices including journal entries and debit/credits, supported by 1-2 years of relevant experience (payroll, accounts payable, bookkeeping and/or other clerical administrative roles)
- Excellent verbal and written communication skills
- Strong attention to detail with a high degree of accuracy
- Comfortable handling confidential information with discretion and professionalism
- Excellent interpersonal and organizational skills, with the ability to manage competing priorities and challenging tasks
- Proficiency in Microsoft Office, particularly Microsoft Excel and Outlook
- Strong problem-solving and analytical skills, with the ability to evaluate information and determine appropriate resolutions- Ability to work effectively both independently and as part of a team in a fast-paced environment with minimal supervision
- Understanding of and commitment to following Health & Safety policies and procedures.

- Ability to perform the physical requirements associated with general office and clerical duties
