Full job description

Play Hockey is a global leader in youth hockey events, teams, tours and development programs. Headquartered in Winnipeg, MB with offices and operations across North America and Europe, the company is growing the game for female and male players of all skill levels at over 110 annual events in seven countries. PLAY Hockey is focused on providing best-in-class experiences for players, families, and community partners. The organization provides opportunities for young players to build friendships, have fun, and create family memories that last a lifetime.

We’re currently looking for a full-time HR & Payroll Coordinator to join our growing team. The position will be working out of our Head Office in Winnipeg, MB. This role is key in keeping our people processes running smoothly, from onboarding and documentation to payroll changes and employee support. In addition to the responsibilities noted below, the HR & Payroll Coordinator will have an opportunity to work alongside Play Hockey’s leadership on more complicated or complex HR issues - excellent experience for a person looking to grow their career.

The HR & Payroll Coordinator will report directly to the company’s President.

Responsibilities:

Recruitment, Onboarding & Offboarding

Full-cycle recruitment for corporate and hockey operations across Canada and the U.S., including job postings, candidate screening, interviews, offer preparation, and coordination with hiring managers.
Coordinate onboarding for all new hires, including preparing employment agreements, gathering documentation, initiating background checks, and coordination of system access, and ensuring employees and managers are prepared for the employee's first day.
Track employment agreements, contract expirations, job changes, and key milestone dates
Support off-boarding processes, including exit checklists, termination paperwork, ROEs, final pay etc.

Payroll, Benefits & HR Administration

Process bi-weekly payroll for full-time and part-time employees (Canada & USA)
Maintain payroll records and ensure accuracy of hours, rates, deductions and benefits
Process year-end payroll reports, including T4s and ROEs (Canada) and W2s (US)
Maintain accurate, up-to-date employee records across payroll and digital filing systems
Manage employee data changes (title, pay rate, status, department, location, manager etc.) and ensure updates flow correctly across all systems
Administer employee benefits, including eligibility, enrollments, changes, terminations, and employee inquiries.

Employee Relations

Serve as a day-to-day HR resource for employees and managers, providing guidance on workplace policies, employment practices, performance concerns, attendance, and other employee matters.
Escalate employee concerns to the Leadership team and assist with documentation when needed

HR Polices

Respond to day-to-day HR inquiries regarding policies, expectations, guidelines, and procedures
Assist leaders with developing and/or updating HR Policies and documentation reviews

General & Management Support

Help facilitate performance reviews (prepare notes, forms, and follow-up materials for employee meetings, etc.)
Maintain confidentiality and handle sensitive information with professionalism
Support compliance with applicable employment standards and employment requirements across the Canadian provinces and U.S. states in which the Company operates.
All other duties as assigned by Management

Qualifications:

1-3 years of experience in HR, payroll, or a related administrative/people operations role
Post secondary education in Human Resources, Business Administration or a related field preferred
Payroll or HR Certifications are an asset (e.g. PCP, CPHR)
Experience processing payroll across multiple provinces/states is an asset
Familiarity with employment standards in Canada and the US
Experience using Payworks and ADP are an asset
Strong Microsoft Excel and Google Sheets skills
Comfortable with digital record management, shared drives, and collaboration tools
Strong attention to detail with a high level of accuracy in all work
Customer-service mindset with a helpful, approachable attitude when supporting employees and managers
Problem-solving skills with a proactive approach to identifying gaps or errors before they become issues
Experience working in a multi-location fast-paced environment
